Role Overview

The Resourcing Administrator will work closely with colleagues to provide vacancy advertising support across our applicant tracking system and will respond to general recruitment queries. The role will work closely with the Resourcing managers, contract management, helpdesk, and leadership teams, providing data uploads, analysis and reporting across various platforms. This role will include managing the central careers mailbox and providing actions and responses on a range of queries, including working with our account managers across our job boards.

You will be a highly motivated, team player who can work autonomously and deliver against deadlines. You'll enjoy helping others, will ideally have good communication and organisation skills and strong attention to detail. Since this role works with our systems, it is important that you are proficient with IT.

Requirements

  • Manage the vacancies raised and approvals in the company applicant tracking system (ATS) so roles are raised in a timely manner and any issues reported and resolved.
  • Monitor advertising spend and budget allocation with the resourcing managers so vacancy performance is consistent.
  • Monitor and attend to the resourcing mailbox so emails are responded to or escalated as required to the relevant person.
  • Produce vacancy reports as required and data access requests.
  • Assist with general operational recruitment tasks such as setting up new users for the ATS and providing training and instructions where needed to assist all processes carried out across the ATS.
  • General ad-hoc administrative tasks.

You will need

  • Experience in a similar role advantageous.
  • Strong IT skills including MS Office 365 skills, particularly
  • Experience using ATS software would be an advantage, although not essential.
  • Strong analytical and administrative skills.
  • Be able to interpret managers expectations into clearly defined actions.
  • Experience reporting from different data sources.
  • Ability to work as part of a team.
  • Ability to prioritise and organise own work whilst working on a variety of tasks.
  • Excellent communication and interpersonal skills.

Key Responsibilities:

  • Reviewing applications, arranging interviews, and short-listing candidates
  • Checking the suitability of applicants on candidate screening calls
  • Briefing the candidate about job responsibilities, salary, and benefits
  • Preparing CVs and correspondence in respect of suitable applicants
  • Attending interviews with hiring managers
  • Making verbal offers of employment
  • Providing an after-care service to candidates and coordinating inductions
  • Building relationships with internal managers and stakeholders
  • Supporting internal managers to develop accurate recruitment forecasts
  • Visiting managers on-site to learn about the working environment and culture
  • Proactive headhunting for candidates on LinkedIn and Job Board databases
  • Attending Careers Fairs at Universities & Colleges to promote the employer brand
  • Attending divisional meetings to improve your understanding of the business
  • Produce regular talent attraction marketing content for use on our social media platforms and Careers Website
  • Managing internal candidate applications and referral schemes
  • Produce monthly ‘Hiring Insight' reports for the Head of Recruitment

About You:

This position will be based at the OCS office on the outskirts of Ipswich. Core working hours for this position are from 09:00 until 17:30, Monday to Friday. However, flexibility will be expected regarding hours of work to suit the needs of the business and team due to diverse nature of works undertaken.
