School Admin - Independent School - Kensington & Chelsea - Immediate start

We are actively looking to recruit a versatile & confident School Administrator, to join this leading Independent School and team in the London Borough of Kensington & Chelsea.

JOB OVERVIEW

You will be an essential part of our administrative team, leading on and assisting with various tasks that contribute to the efficient functioning of the school office. This is a physical role that requires an enthusiastic individual who is willing to be hands-on and engage with various aspects of school administration.

Key Responsibilities:

  • Handling incoming phone calls and inquiries, directing them appropriately, being a strong gate-keeper
  • Greet visitors, parents, and students, offering a warm and professional welcome, complying with regulatory safeguarding management and record keeping
  • Clerical duties, for example designing flyers, diary management, posters, photocopying, filing, and preparing documents
  • Ensure all registers are taken twice daily and absences followed up in accordance with KCSIE and safeguarding
  • Print fire registers twice daily
  • Ensure all trips leave a trip register with the office team
  • Manage school trip phones, charged and with data
  • Distribute mail and manage deliveries
  • Maintain the tidiness and organisation of the reception area, weekly flowers, staff kitchen, staffroom and office areas
  • Prepare materials for school events and meetings
  • Manage and order stationery and sundry supplies as needed.
  • Manage and oversee the maintenance log
  • Support the leadership team with diary management, bookings, communication, minute taking
  • Lead on the initial aspects of managing prospective parents, data entry, organising visits, tours, open events, ensuring that all contact data and information is processed in the MIS
  • Manage the daily and weekly contracts/ visitors, including but not limited to laundry, catering
  • Lead on sending out communication to parents through the MIS and keeping the parent portal updated
  • Manage and be responsible for, the day-to-day operation of the school reception area, communal spaces and school office in order to ensure the health and safety of the children, their parents and carers, the team and any visitors
  • Adhere to all health and safety policy and procedures
  • Be fully aware of all emergency and security procedures
  • Allocate necessary training for new staff
  • Coordinate resource requests and ordering
  • Understand and utilise management systems and information to maximise efficiency
  • Fortnightly admin team meeting
  • Ensure all pupil records are up to date and complete
  • Support processing of new staff and visiting third parties to be compliant with safer recruitment processes
  • Ensure all staff have a current lanyard
  • Manage all incoming and outgoing visitors to ensure safeguarding compliance
  • Develop open and positive working relationships with staff
  • Identify personal training needs
  • Ensure weekly staff breakfast is ordered/ purchased and set out for staff
  • Promote the school and nursery to current parents and potential families with tours, events and positive word of mouth
  • Proactively represent The Chelsea Nursery and Cameron Vale School and advance its interests in the local community
  • Be actively responsible for preparing and clearing down before and after events, eg tablecloths, chairs, tables, name badges, lanyards and be actively responsible
  • Prepare and send out a weekly newsletter for all parents and prospective parents
  • Responsible for all administrative duties associated with the school, such as maintaining children's records, ordering equipment, maintaining inventories and keeping all regulatory records
  • Adhere to all school policies and procedures
  • Undertake any other duties that contribute to the efficient operation and smooth running of the school

Salary: £26,000 per annum

Working Hours:

  • 8am to 5pm during term-time
  • 8am to 4pm during school holidays

Qualifications and Skills:

  • Strong communication skills and a friendly demeanour
  • Excellent organisational skills with an eye for detail
  • Good computer skills, including proficiency in Microsoft Office applications
  • A willingness to learn and take on new tasks
  • Ability to work effectively both independently and as part of a team
  • Prior experience in an administrative role/ school is advantageous but not essential
  • An active DBS certificate is preferred
