Administration Officer
My client is a leading organisation based in Newtownabbey, who are currently seeking an Administration Officer to join their team.
This is a Full-Time, Temporary Position – initially for 4-6 weeks with the potential to be extended.
Working hours: Monday, Tuesday, Thursday: 8.30am – 3.30pm and Wednesdays and Fridays: 8.30am – 2.15pm (30 hours per week).
With an hourly rate of £12.52 per hour.
Start date: Immediate
Essential Criteria:
- Previous administration experience within a similar role.
- IT proficient with the use of Microsoft Office to include Outlook, Word and Excel.
- Excellent communication skills both written and verbal – with the ability to communicate with stakeholders at all levels.
- Ability to manage and prioritise a busy workload.
- Ability to work as part of a team as well as on your own initiative.
Main Duties and Responsibilities:
- Operate Truancy and Parent Call system.
- Operate SIMS C2K system.
- Operate manual and computerised information systems.
- Provide general administrative, clerical and secretarial services including filing, photocopying, faxing and emailing as and when required.
- Assist with processing orders and invoices when required.
- Assist with mailshots and circulars as and when required.
- Assist with administrative tasks.
- Scheduling interviews, providing staff with associated paperwork.
- Convey messages to and from staff as and when required.
- Assist with completion and submission of bus pass returns as required.
- Liaise with various Boards, on matters relating to bus passes, bus schedules, free meals, grants, etc.
- Greet visitors on arrival and deal with them accordingly. Bring visitors to their meeting point if necessary.
- Answer calls, receiving and returning messages courteously, accurately and promptly.
- Operate email system for the delivery of messages, etc.
- Provide general advice and information to callers.
- Provide and issue relevant information.
- Prepare outgoing mail each afternoon. Adhere to strict storage guidelines when preparing exam materials for postage in liaison with Examination Officer.
- Maintain stock of stationery cabinet and keep cabinet tidy and stocked at all times.
- Assist at events (may include occasional evenings and weekends).
- Ensure work area is kept tidy at all times.
