Sales Administration Assistant

My client is seeking a Service Coordinator to join their Service Department at an established Commercial Building Maintenance company. This role is integral to operations, requiring a well-organised individual with a strong background in service coordination, preferably within the building service/maintenance sector.

Day-to-day of the role:

  • Serve as the first point of contact in the office, handling incoming calls from clients and directing them as necessary.
  • Manage the door entry system and receive deliveries, booking them in accordingly.
  • Raise reactive breakdown jobs on our system, collate relevant information, and enter jobs onto engineers' schedules.
  • Keep clients informed through verbal updates, emails, or by updating clients' Facilities Management Systems such as Elogbooks and Fixflo.
  • Arrange routine service visits with clients and update engineers' schedules.
  • Prepare engineers' service report sheets, send reports to clients, or upload onto clients' Facilities Management System.
  • File reports in client folders or in the "action folder" for the Service Manager.
  • Type quotations or reports prepared by engineers or Service Manager.
  • Assist with staff meetings, including preparing agendas and taking notes.
  • Perform other office admin duties as required and work across all departments in the company.

Required Skills & Qualifications:

  • Experience in a building service/maintenance department is ideal, but applicants from other service roles will be considered.
  • Well-organised, able to multitask and prioritise urgent work.
  • Excellent communication skills with a customer service orientation.
  • Proficient in Microsoft Office with fast and accurate typing skills, and a good level of grammar, spelling, and punctuation.
  • Meticulous attention to detail and conscientious about work quality.
  • Driving License is preferable but not essential.
  • Ability to work well in a small team and within a 30-minute commute of Hitchin.
