Job Description

Competitive Salary £27,500 (Depending on Experience) | Hybrid working | Fixed Term Contract | Full Time

We are currently looking to recruit a PA to provide comprehensive and proactive support to the Divisional Managing Director, and to also support the wider South Coast Senior Management Team on a Fixed Term Contract.

Key Responsibilities of a Personal Assistant

  • Maintain and update diaries, identifying and prioritising tasks (using Microsoft Outlook).
  • Establish and maintain an email system to support the DMD.
  • Manage diverse tasks such as travel plans, calls, meetings, conferences, general queries, correspondence, and minute taking.
  • Create and manage reports and summaries for the leadership team on various metrics and data.
  • Prepare packs, presentations, materials, and agendas for key meetings and events (using PowerPoint, Word, etc.).
  • Organise regional initiatives, social events, and communications.
  • Act as an ambassador, building effective relationships with stakeholders.
  • Assist with tasks like managing stationery orders and car allocations.
  • Communicate with departments such as HR, IT, Fleet, and Payroll.

Skills and Experience Required to be a Successful Personal Assistant

  • Experience working in a fast-paced, customer-centric, and changing environment, providing comprehensive PA support to the Managing Director and leadership team.
  • Excellent skills in organisation, prioritisation, and time management with strong attention to detail.
  • Ability to work proactively and comfortably, using own initiative in a dynamic environment.
  • Excellent communication, influencing, and relationship skills with a customer-centric approach, comfortable working with colleagues at all levels.
  • Fully proficient in key software packages (Word, Excel, PowerPoint) and confident with Microsoft Outlook (or similar email systems).
  • High levels of energy, drive, enthusiasm, with a passion for personal development and team support.

Other Helpful Things to Know

  • This role reports to the Divisional Managing Director.
  • Hybrid working with a local base in Uckfield; travel to various locations for meetings is required.
  • Close working relationships with the wider Leadership Team, Finance Business Partner, all PAs, and the wider BU leadership teams across the Group.
