Personal Assistant

Semperian Group are looking to recruit to an experienced Personal Assistant position, on a permanent basis, based at Hereford County Hospital. This role will be to provide full administrative support to the manager of the project site in order to deliver on our contractual obligations, by helping them with a variety of standard business processes, systems and tools and liaising with appropriate internal and external stakeholders, as well as providing general office duties.

Responsibilities:

To manage all administrative aspects of the SPC (Special Purpose Company) office including; collation and preparation of the project diary inclusive of meetings, preparation of reports and issue of contract deliverables; general office finance tasks such as, checking and processing of invoices for payment, arranging of all travel, stationary and hospitality needs and the monitoring of office IT charges; Document management and timely exchange of related correspondences; and collation of the monthly Board reports and data.

  • To support the SPC stakeholder management by; proactively engaging with all project stakeholders, at all levels and organising meetings, rooms and events as required.
  • To understand and co-ordinate the delivery of contractual obligations by the SPC team by; gaining familiarity with the contract documentation to assist with explanations and guidance; understanding contract deliverables for inclusion in the project diary and arranging associated activities.
  • To represent the SPC, and act as its point of contact on all matters relating to the various services including; chairing various meetings and responsibility for circulation of meeting notes and the follow-up of actions.

Requirements:

Good working knowledge of Microsoft Office including Outlook, MS Excel, MS Word, MS Powerpoint and MS SharePoint, as well as finance systems such as SAP, which is the proprietary system utilised by Semperian for all purchasing and invoicing requirements.
We are looking to appoint an organised and diligent individual who can comfortably work in a team but is just as happy working on their own initiative. You will have a high level of professionalism, excellent attention to detail, prioritisation and planning skills and be comfortable communicating with both internal and external contacts in writing, on the telephone and in person. This role is subject to the relevant level of DBS check.
