Senior Administrator Trade Compliance (Part-Time 20-25 hours)

We have a fantastic opportunity for a Senior Administrator to join our team based in Ampthill, Bedfordshire. This is a part-time role benefitting from our 4xFlex working pattern, suitable for someone looking to work 20-25 hours per week, 5 hours a day Mon - Thu. Those 5 hours a day can be flexible and could suit someone looking to work around school hours. We also support hybrid working so typically 2 days a week in Ampthill and 2 days a week from home (depending on business needs).

This Senior Administrator role is working within the International Trade Compliance team where you will be performing a variety of tasks in support of the team.

The role holder's main duties and responsibilities include:

  • Record keeping including export filing, data entry and softcopy reconciling of databases and updating and maintaining journals, ledgers and other records detailing export and import business.
  • General administration and data entry tasks for the International Trade Compliance team.
  • Support licence flow downs.
  • The draft of basic level End User Statements, F680 approvals and draft basic level export licences applications in SPIRE the UK Governments Export Control Joint Unit's online export licencing system (with supervision).
  • Follow up of trade compliance documents where the initial work has been done and documents/proofs of delivery need chasing or chasing down documents that need to be returned to LMUKA.
  • Support in managing customers records and request updates and renewals where necessary.
  • Aid in creation of presentations, posters, and other collateral to raise awareness of Trade Compliance internally.
  • Review and maintain records for monthly intangible transfer logs.
  • Support the International Trade Compliance team journey for best practice in maintaining compliance and provide ideas and suggestions for improvements to tools and processes.
  • Support the International Trade Compliance team maintain HMRC AEO status.
  • Assist in the preparation of, and support, regulatory and internal audits.
  • Review trade compliance documentation with guidance.
  • Support International Trade Compliance Manager and wider LMUKA business with the screening of Third Parties, suppliers, and customers in the business when necessary.

Essential Skills:

  • Proven experience as a Senior Administrator or related role, ideally with some compliance responsibilities.
  • Customer focused and organised.
  • Good time management skills.
  • Good written and verbal communication skills.
  • Willing to work wherever demand is created.
  • Ability to learn quickly and ability to prioritise workload and manage tasks competently.
  • Able to follow procedures when required.
  • Be proficient with IT applications (i.e., Microsoft packages).
  • Good skill set with data management packages and ability to use spread sheets and databases.
  • An ability to perform multiple administration tasks and prioritise when necessary.
  • Good analytical skills with an aptitude for learning new skills within the International Trade Compliance sector.
  • Problem solving with the ability to formulate workable solutions.
  • Discretion/Latitude - Able to work proactively under general supervision.
  • Be able to communicate well with others and have an attention to detail.
  • You must be able to work independently as well as being an effective & collaborative team player.

Desirable:

  • SharePoint experience to providing day-to-day support, administration, and maintenance for the teams SharePoint environment.
  • Ability to disseminate presentation information to individuals.
  • Generalist knowledge of UK and U.S. Export Control Regulations, including the ITAR and EAR 600 Series within the defence sector.
  • Generalist knowledge in UK Customs procedures.
  • Knowledge - Previous experience in an Export/Shipping department or frequent use and general knowledge of industry practices. Experience in use and application of SAP.
