Personal Assistant

A well established, national company are looking for a Personal Assistant to provide full PA services with secretarial support for the Director of People and Communications at their offices in Derby. The Personal Assistant would arrange and service team and 1-1 meetings, steering groups, departmental meetings, networks and people panels.

Duties include:

  • Supporting the work of the Directorate in meeting its quality standards, targets and business objectives and provide admin support as required
  • Planning and organising the Director's time by maintaining the diary and scheduling the many and varied meetings the Director leads and visits to services
  • Booking meeting rooms, external facilities and catering when required within budget and organising full travel details and accommodation for the above
  • Preparing agendas and drafting reports on behalf of the Director in advance of meetings; collating and issuing meeting packs once approved
  • Attending meetings to take the minutes and circulate them following the meeting as required
  • Managing an action monitoring system for the Director and team resulting from meetings and ongoing commitments to ensure deadlines are met
  • Drafting letters/emails in response to correspondence received on behalf of the Director
  • Liaising with a wide range of people, including the Chief Executive, Board Members and Director's peers from other organisations
  • Dealing with telephone enquiries from internal and external customers, providing advice where appropriate
  • Supporting the Director with email management, ensuring that all emails are responded to / actioned promptly
  • Receiving visitors and providing hospitality
  • Preparing the Director's expenses, ready for submitting and check the expenses for the Directorate, ensuring that they are claimed in accordance with policy, challenging where appropriate

The Personal Assistant will have PA/secretarial experience at senior or director level, including diary management. You will also have a high level of verbal and written communication and interpersonal skills, including the ability to communicate effectively with a wide range of people at all levels.

In return you will be offered a salary of £31,000. Working hours are Monday to Friday, 37 hours a week and flexibility is available. This is a hybrid position where home and office working are available.
