Project Coordinator

Our client, an award-winning educational establishment, is seeking a highly organised and proactive Projects Coordinator to support the Facilities Manager in the delivery of multiple short-term estates and transport projects over the summer. This is a hands-on role requiring excellent project planning, tracking, organisational, communication and administrative skills to ensure smooth and timely execution of works across the estate.

You will be a positive, dynamic and hard-working person with a "can do attitude". Flexible and able to adapt to the needs of the organisation, you must have good attention to detail and take pride in doing the best possible job.

PLEASE NOTE: This is a Fixed Term Contract to start July '25 through to September '25. This is a full-time role working 37.5 hours per week (The start and end times of the day will be set by the Facilities Manager), and candidates should be flexible to working beyond these hours if necessary, including some evenings to support lettings.

pecific Responsibilities

  • Support the Facilities Manager in planning and delivering concurrent estates projects
  • Maintain and update project documentation including Gantt charts, critical path schedules, and progress trackers using the school's chosen project planning tool
  • Monitor project timelines, flag issues, risks or delays, and help ensure milestones are met
  • Manage and organise project-related paperwork including plans, diagrams, specifications, contracts, purchase orders, invoices, insurance and compliance documentation
  • Support the Facilities Manager in liaising with internal stakeholders and external contractors to coordinate works and track progress, including minuting meetings
  • Deputise for the Facilities Manager during short absences, ensuring continuity of communication and oversight
  • Assist in preparing reports and updates for senior management as required

Skills & Qualifications

Essential:

  • Proven experience in project planning, project coordination or project support roles
  • Strong organisational and time management skills
  • Excellent proficiency in using IT
  • Excellent attention to detail and record-keeping
  • Confident communicator with the ability to liaise effectively with contractors and internal teams
  • Minimum of GCSEs or equivalent, including English and Maths
  • Ability to deputise for a manager and take initiative when required
  • Excellent range of interpersonal skills for dealing with the parents, children, staff and the public, good communication and listening skills
  • Ability to work independently and as part of a team
  • A multi-tasker with ability to prioritise and deal with multiple issues on a regular basis and work under pressure to deadlines
  • A quick learner with a willingness to adapt, be flexible and happy to be deployed across the school
  • Ability to prioritise tasks and manage time effectively

Desirable:

  • Specific experience in using project planning tools will be an advantage
  • Knowledge of estates operations and the construction industry
  • Experience in facilities or construction project environments
  • First Aid qualification (a willingness to undertake training is essential)
