PA to Chairman

An experienced Personal Assistant is required by our client, a Fresh Produce company based in Kent. The main purpose of the role will be to support the Chairman, CEO, Financial Director with personalised secretarial support, diary, administration and correspondence management in an organised and timely manner. Creating and managing a centralised travel function. Making efficient use of Director time and resources to create shareholder value. The main responsibilities:

  • Planning and arranging meetings and appointments - internal and external
  • Maintaining diaries
  • Organising and booking flights, accommodation and travel arrangements
  • Liaising with customers PA's
  • Preparing board report for circulation
  • Preparing and distributing letters and cheques for Long Service Awards
  • Preparing address list for and arranging distribution of the Annual Accounts
  • Answering and fielding telephone calls
  • Taking messages
  • Monitoring and responding to the Chairman's e-mails in his absence
  • Booking catering for meetings and visitors
  • Liaise with other departments and sites within the group
  • Word Processing
  • Maintaining filing systems
  • Understanding of H&S and Environmental risks involved in work activities
  • Be aware of Group and Company H&S Policies, Procedures and Protocols.
  • Report all accidents, near misses, unsafe acts or conditions through the HUB

The successful candidate must be an intelligent person and an experienced PA who has excellent verbal and written communication skills. You will be a methodical thinker, able to focus effectively on the task in hand and deliver to agreed timescales and pay attention to detail. You will also be a flexible quick thinker who is able to build positive, professional relationships quickly whilst maintaining discretion, confidentiality and sensitivity. Must have the ability to demonstrate working with a high degree of accuracy with numbers and have strong working knowledge of Office Applications, particularly Excel, Word and PowerPoint. Excellent communicator.
