An Executive Assistant to the CEO is needed for a respected not for profit association in Warwick. The role necessitates excellent administrative skills and the ability to liaise confidently and professionally with high-level personnel.

This organisation is one of the largest non-profit entities in the UK, supporting over 250 member organisations. Based in Warwick, they are dedicated to providing exceptional service and support to their members across the country.

Description

The main duties and responsibilities of the role holder are as outlined below:

  • Providing executive direction, input and support, overseeing special projects and steering groups on behalf of the Chief Executive.
  • Managing all aspects of Chief Executive's quarterly board report including collating, copy editing/proofreading ready for submission to Chief Executive/Board.
  • Schedule management on behalf of Chief Executive to ensure all meetings, events and deadlines are carried out seamlessly.
  • Provide in-person assistance, travelling with the CEO to external meetings and events.
  • Providing meeting briefings for the Chief Executive.
  • Providing secretarial support for Senior Leadership Team meetings and providing secretariat cover for other meetings as required.
  • Working closely with internal communications on behalf of the Chief Executive
  • Producing correspondence and documents; accurately proof reading /copy editing.
  • Manage complaints and compliments received through the CEO's office, escalating when necessary.
  • Collating and submitting monthly expenses; raising and processing financial purchase orders, invoices, subscriptions, credit card statements and any other purchases.
  • Coordinating all aspects of diary and travel management
  • Supporting the Chief Executive with email management.
  • Collating and providing all papers required ahead of events and meetings, ensuring that any speeches/briefs are provided in good time.

Profile

A successful EA to CEO should have:

  • Experience of working for a Chief Executive or Senior Executive Director
  • Significant experience working as a Personal Assistant or Executive Assistant
  • Outstanding communication skills - verbal, written and listening.
  • Ability to work collaboratively and professionally with members, charity partners, trustees and external calls when necessary.
  • Strong time management skills and ability to prioritise under pressure
  • High standard of accuracy, quality and attention to detail
  • Ability to deal with confidential and sensitive information
