Stakeholder Meeting Co-ordinator

Position Overview: We are seeking a Stakeholder Meeting Coordinator to support our clients' industry leading pharmaceutical team in Bracknell. Your role will involve managing systems and processes related to customer and stakeholder engagement, ensuring compliance with company policies. You will be a key member handling promotional and non-promotional content, facilitating partnerships with healthcare stakeholders, and maintaining accurate records.

Key Responsibilities:

  • Expertise and Oversight: Serve as the go-to expert for stakeholder engagement processes and systems. Ensure all activities comply with regulations from initial approval to final closure.
  • Cross-Functional Collaboration: Work with various departments including Human Pharma, Legal, and Compliance to resolve system and process issues.
  • System Management: Oversee entries and data in Veeva Events Management (EM) system to ensure correct categorisation and spending compliance.
  • Training and Support: Train activity owners on the BI Transparency Reporting Platform (BITR) for spending data entry and oversee its accuracy.
  • Contract and Payment Processing: Manage HCP contracts, ensure correct templates are used, and process payments in a timely manner.
  • Documentation and Record Keeping: Check, file, and track hard copy contracts and materials, ensuring compliance with retention schedules.
  • Expense Validation: Validate Veeva EM activities against expenses, ensuring proper coding of Transfer of Value payments.

Requirements:

  • Strong expertise in payment systems and routine data management.
  • Experience in maintaining data quality.
  • Knowledge of the ABPI Code of Practice is preferred.
  • Familiarity with Veeva EM and other contracting/payment systems.
  • Awareness of healthcare compliance.
  • Excellent planning, organisational, and multitasking skills.
  • Strong written and verbal communication skills.
  • Attention to detail.
