The Role
We are looking for a VIP Relations Executive to play a key role in their Client Success team. You will support the wider team and be responsible for ensuring contracted deliverables are fulfilled efficiently and accurately. Your main focus will be on supporting the delivery of the Hosted Meetings Programme, a key element of our clients' packages. The role requires excellent communication and meticulous attention to detail.

Key Responsibilities

  • Guide VIPs through the onboarding process for Hosted Meetings, managing registration, event details, administrative support, and inquiries.
  • Conduct outreach to potential attendees, supporting the team in qualifying participants to ensure eligibility.
  • Build and maintain strong relationships with VIPs through various communication channels.
  • Provide daily administrative support, ensuring CRM and databases are updated.
  • Assist the Client Success Manager in preparing documentation and scheduling meetings for the Hosted Meetings Programme.
  • Facilitate communication and workflow among project team members and third-party service providers to meet deadlines.
  • Maintain professional client communication, ensuring any challenges are managed discreetly.
  • Monitor and report on hosted meeting expenses.

About You

  • An organised and personable individual, with experience in customer service, telesales or sales. You are a strong communicator, who can work autonomously within their role whilst collaborating with internal teams to deliver a seamless client experience.
  • Proven experience in building and maintaining relationships.
  • Highly organised with strong attention to detail and process orientation.
  • Excellent planning, prioritization, and time management skills.
  • Strong verbal and written communication skills with a customer-oriented attitude.
  • Confident and personable phone manner, comfortable speaking with senior executives.
  • Ability to work efficiently under pressure in a fast-paced environment.

Preferable software and tools experience:

  • Microsoft 365 (Word, PowerPoint, Excel)
  • CRM systems (Hubspot preferred)
  • Virtual event platforms (Grip preferred)
