Role Overview:
They are seeking a talented and motivated Event Coordinator on a permanent basisto support the company in the planning, coordination, and execution of various projects. This role involves working on both set projects and ad hoc tasks, providing a mix of structured and flexible responsibilities.
The successful candidate will have some experience in event management and / or from a PA/EA background who is now eager to take the next step.
Key Responsibilities:
Set Projects:
- Lead and manage the planning and delivery of key events, including but not limited to corporate functions, private parties, and large-scale celebrations.
- Coordinate with clients to understand their event requirements and manage expectations through regular communication.
- Work closely with vendors, suppliers, and venues to ensure all event logistics are covered (catering, décor, entertainment, AV, etc.).
- Develop and manage event timelines and budgets, ensuring all elements of the event are executed to the highest standard and on schedule.
- Oversee on-site event operations, ensuring seamless execution, problem-solving on the day, and high levels of client satisfaction.
Ad Hoc Tasks:
- Support the senior event team with a variety of event-related tasks as needed, including event research, administration, and procurement.
- Assist with client communications, creating proposals, presentations, and reports as required.
- Help manage post-event tasks, including feedback collection, reporting, and invoicing.
- Venue sourcing
Key Skills and Experience:
- Proven experience in event management or has worked as a PA/EA, with a minimum of 2 years in a similar role.
- Strong project coordination skills with the ability to juggle multiple tasks and priorities effectively.
- Excellent written and verbal communication skills, with a high level of professionalism in client interactions.
- Ability to work independently and collaboratively in a fast-paced environment.
- Exceptional attention to detail and a strong sense of responsibility for event success.
- Proficiency in Google products and Microsoft Office.
- Knowledge of budgeting, vendor negotiation, and contract management.
- A flexible, "can-do" attitude with the ability to handle changing priorities and ad hoc tasks.
- A passion for events and delivering outstanding experiences.
- Ability to work evenings, weekends, and long hours as required during events.
- Experience preferred (but not essential) in both corporate or private event planning.
