ASSISTANT COMPANY SECRETARY AND OFFICE MANAGER DUBLIN, IRELAND €45,000 + PACKAGE PERMANENT ROLE, OFFICE BASED

Role Overview:

Morgan Philips Group is presently representing an internationally operating boutique financial services business in their search for an Assistant Company Secretary and Office Manager to be based from their offices in Dublin 2.

The role is responsible for organizing and managing the office, assisting and coordinating a high level of client service by providing administrative and operational support.

Key Accountabilities:

Company Secretarial Duties:

  • Managing incorporation of new companies, strike off, maintaining information about directors/secretaries on the register (CRO) up to date
  • Register all companies and update the UBO information in the RBO (Register of beneficial ownership)
  • Prepare Stock Transfer forms
  • Prepare Resolutions and Minutes
  • Maintaining statutory register and keep internal files up to date
  • Ensuring compliance with corporate legislation
  • Manage a large and varied portfolio of clients with different deadlines
  • To ensure that statutory records and registers are maintained in accordance with the regulations governing client companies
  • To submit the necessary documents to the register including Annual Return for all companies
  • To assist with VAT applications and prepare the paperwork to be sent to the accountants

Office Administrative Duties:

  • To manage overall administrative activities for the office
  • To deal with and visit Notaries / Embassy Officials / Department of Foreign Affairs & apostille documents
  • To liaise with office suppliers (i.e. stationery, couriers, cleaning company, etc.)
  • To manage incoming and outgoing mail/post, scan and archive
  • To check all invoices coming into the office before forwarding them for payment
  • To co-ordinate with other offices daily task (documents and email sharing and collection)
  • To be the first point of contact for Directors of the Companies managed by the Group (direct contact with them for signatures and schedule meetings as required) and customers
  • To Liaise with accountants, auditors and other professional advisors and intermediaries
  • To liaise with different banks and deal with payments of invoices on behalf of clients compliant with AML procedures
  • To prepare the billing for services rendered and send them to clients for payment

About You:

  • Certificate in Company Secretarial Law and Practice from Law Society of Ireland and The Chartered Governance Institute (ICSA) or equivalent
  • Experience as Company secretary in Fiduciary and Corporate Advice is a distinct advantage
  • Previous admin experience and office management is highly desirable
  • Excellent attention to detail on multiple projects to meet deadlines
  • Able to work autonomously, adaptable and pro-active in problem solving
  • Strong communication and organizational skills, able to multi-task and prioritize
  • Fluency in English (other languages are a plus)
  • Ability to work accurately, efficiently and in teamwork (with remote workforce)
  • Experience in an international environment is a plus
