Our client is looking for a dedicated team Administrative Assistant, where you'll play a crucial role in delivering high-quality service to both patients and staff. You'll manage GP clinical systems, support safeguarding meetings, and handle risk assessments, ensuring seamless operations within the practice. To be considered for the role, you'll require the following essentials:

  • Achieved a minimum of 5 GCSEs, including Mathematics and English, with grades between 9-4 / A*-C or equivalent
  • Proficient in computer use with standard keyboard skills
  • Familiarity with Microsoft Office
  • Two years of experience in administrative roles
  • Basic understanding of bookkeeping and finance (preferred)
  • Knowledge of medical terminology
  • Effective communication skills
  • Strong interpersonal and organizational abilities
  • Experience working in teams
  • Prior experience in the NHS (preferred)
  • Awareness of health and safety protocols
  • Commitment to maintaining strict confidentiality
  • Skilled in accurately conveying information both verbally and in writing
  • Capable of exercising resourcefulness and sound judgement when addressing inquiries
  • Ability to self-motivate, organize, prioritize workload, and achieve objectives without direct supervision

Within this position, you'll also be:

  • Extensively use clinical systems and associated software to update and store data in compliance with practice policies, ensuring records are always current and accessible to clinical staff.
  • Deliver comprehensive administrative support to the practice team, ensuring the delivery of high-quality, uninterrupted service to patients and team members.
  • Provide administrative assistance for safeguarding tasks, including preparing agendas, attending meetings, taking and preparing minutes, and following up on action items.
  • Attend various practice meetings, take minutes, and prepare them for distribution.
  • Conduct and monitor health and safety risk assessments, including fire risk assessments.
  • Manage the return of records for patients who have left the list, print and update computer records, expedite notes to and from the Health Authority, and ensure readiness for courier collection.
  • Offer administrative support for the Secure Unit, including patient allocations and service claims.
  • Maintain staff training records and organize necessary training sessions.
  • Retrieve information from both digital and manual systems as needed.
  • Work within the practice's established policies and guidelines, providing feedback and contributing to policy updates, such as the Business Continuity Plan and Staff Handbook.
  • Assist the management team with clerical tasks and projects to ensure the smooth operation of the practice.

Salary & Working Hours

£11.44 per hour
