Post Exchange Lead

In this role you will work in our Residential Property department which spans our 7 offices. You will be speaking with clients, estate agents and referrers on a daily basis whilst taking files form exchange of contracts through completion and registration with the Land Registry to file closure. You will report to the Head of Department and as part of your daily role you will supervise a team of Post Exchange Executives across our Residential Property and New Build departments.

The day to day:

Post Exchange tasks:

  • Preparing the memorandum of exchange and all post exchange correspondence
  • Completion of all Stamp Duty Land Tax returns
  • Submitting the HMLR priority searches and bankruptcy searches via the HMLR portal
  • Preparing Certificates of Title for submission to lenders
  • Preparing invoices and completion statements
  • Preparing in advance of completion paperwork and correspondence
  • On completion days dealing with telephone calls, notifying all parties of progress and completion and submitting the stamp duty land tax returns
  • Submission of applications to change the Register (digital registrations) and First Registrations (FR1) of properties
  • Dealing with requisitions raised by the HMLR
  • Monitoring of files on which a retention or other monies are held and following up when required for release of those funds
  • Updating LMS/Lender exchange/ULS as necessary
  • Monitoring matter list for inactivity
  • Closing files

Lead role tasks:

Overall responsibility for the management of the Residential post exchange team including, but not limited to:

  • holiday approval,
  • Preparation for and carryout out of appraisals & mid year reviews
  • Co-ordination of holiday cover and absence leave and allocation of work for the Residential Property post exchange team
  • Preparing for and chasing quarterly post exchange meetings at various offices - attended by post exchange for Residential Property, New Build & Shared Ownership and Private Wealth
  • Acting as point of contact for queries from all post exchange staff across H&H
  • Providing training on post exchange issues or to new joiners
  • Providing system based training for Residential Property, New Build /Shared Ownership, Private Wealth and (if appropriate) commercial team members as and when required on all matters post exchange
  • Reviewing, and analysing on an ongoing basis the monthly user data spreadsheet and graphs received from HMLR
  • Creating spreadsheets to analyse user data from HMLR
  • In depth analysis of HMLR feedback on requisitions topics and implementing training and proposing system based changes to alleviate such requisitions across the firm

  • Attending monthly Property Committee meetings to present findings from HMLR user data and the analysis carried out to members of the Resi, Private Wealth, NB/SO depts.
  • Assisting New Build & Shared Ownership team with requisitions/registrations as and when required
  • Reviewing and assisting with problem/complicated files and historic matters to resolve issues.
  • Liaising with Head of Accounts department re process enhancements and issues

What experience do I need?

To be successful in this role you must have experience and knowledge of post exchange and completion of Residential Property Conveyancing from within a Law firm and be ready to take the next steps of starting to supervise and manage and small cohort of Post Exchange Executives.
