Billing Executive

I am delighted to be partnered with an international Law firm in their search for a Billing Executive to join their London office on a permanent basis.

Day duties of the role include:

  • Billing Preparation: Assist partners and fee earners in preparing bills for clients, ensuring accuracy and timeliness.
  • Client Relationship Support: Provide support for fee discussions, tender exercises, and other aspects of client relationship management.
  • Internal Communication: Build and maintain effective relationships with internal clients, including partners and other fee earners.
  • Team Collaboration: Work closely with the Billing & Costs team to ensure seamless operations.
  • Query Management: Share responsibility for answering queries and requests received via a central inbox, ensuring tasks are completed within SLAs.
  • Finance Liaison: Collaborate with other Finance teams to ensure cohesive financial operations.
  • E-Billing Systems: Develop knowledge and proficiency in various e-billing systems.
  • Bill Tracking: Monitor the status of submitted bills, identify issues, and address rejections and reductions promptly.
  • Proactive Follow-Up: Ensure timely resolution of issues by following up with the wider business and colleagues.
  • Issue Communication: Communicate any situations requiring follow-up, such as rate issues, billing delays, or difficult requests.
  • Rate Verification: Verify client-specific rate accommodations, apply approved discounts, and track volume discounts.
  • Rate Maintenance: Set up and maintain agreed rates, ensuring timely updates at key milestone dates.

Needed experience in:

  • Minimum Grade C/5 or above in GCSE English and Maths.
  • Experience working in a Costs/Billing environment (ideally legal and with experience of Elite 3E).
  • Client-focused with the ability to adapt approach and service to meet client needs.
  • Strong ability to build business relationships with internal and external contacts.
  • Resilient in managing competing demands regularly.
  • Comfortable accepting instructions and guidance from various sources.
  • Ability to work collaboratively in a team and independently.
  • Experience with common issues in a billing/costs department.
  • Excellent interpersonal and communication skills, both written and spoken, including strong influencing skills.
  • Ability to express views clearly and succinctly in various communication settings and styles.
  • Proven organisational skills with the ability to multi-task, remain calm under pressure, and meet tight deadlines.
  • Excellent attention to detail and good use of grammar.
  • Experience working in a diverse team while fostering an inclusive team culture.
  • High level of professionalism and integrity, displaying the highest standard of professional ethics.
