Salary: £35,000 - £40,000

Opportunity Overview: fantastic opportunity has arisen to join my client Landsec, one of the leading real estate companies in the UK, as a Financial Administration Supervisor.

Role Objective: You will provide diary management to the Mixed Use Estates Director and work closely across the company and asset team. Some ad hoc annual leave cover for 1 other TC.

Key Responsibilities:

  • Extensive diary management and travel coordination.
  • Provide secretarial support, including filing & scanning and processing Electronic Fund Transfers (EFT's)
  • Arrange weekly/monthly 1:1 & team meetings for the head of department's direct reports, and the team.
  • Provide administrative support to the Mixed Use Estates Director and asset team.
  • Take and produce meeting minutes for internal board meetings as and when required
  • Ensure that all team members have the resources they need to complete their tasks.
  • Organise travel and hotel bookings for members of the team.
  • Budget management, monthly oversights of our cost centres and ensure that our numbers (PO's raised, invoices, spent) match finance.
  • Printing, binding and distribution of key departmental documents for senior meetings.
  • Preparing, printing and sending of External Board papers
  • Collating reporting updates
  • Respond to general queries raised by both internal and external stakeholders and inform the relevant team member as appropriate.
  • Manage all aspects of the Purchase to Pay process for the Senior Leader/Managers cost centre which may include new supplier onboarding and Purchase Order processing.
  • Submission of expense claims for the team as required.
  • Organise team outings to promote team bonding.
  • Undertake any other reasonable duties as instructed.

Requirements:

  • Excellent people skills
  • Proven organisation and administrative skills
  • Good spoken and excellent written English
  • Ability to work under pressure.
  • Advanced knowledge of Microsoft Outlook, Word, Excel and PowerPoint etc
  • Clear, concise and polite telephone manner
  • Team player and motivator
  • Accuracy and excellent attention to detail
  • Proactive and able to use initiative.
  • Minute taking
