Accounts Assistant

Accounts Assistant - Finance Dept

Key Responsibilities:

  1. Purchase Ledger Management:
  • Maintain purchase ledger and invoice codings in Dext.

  • Manage purchase orders in ApprovalMax.

  • Seek and verify approvals for non-PO invoices.

  1. Sales Ledger Management:
  • Maintain sales ledger and invoice codings.
  1. Asset Management:
  • Add and remove assets from the financial asset register.

  • Collaborate with the operational team to reconcile the financial asset register with the equipment log.

  1. Financial Operations:
  • Support the finance manager with month-end close duties.

  • Manage the finance inbox, distribute emails as necessary, submit invoices to Dext, and file emails in appropriate folders.

  • Respond to email queries and verify supplier statements.

  • Update the bank account and work with the finance manager to ensure reconciliation.

  • Assist the finance manager in updating the daily cash forecast.

  • Prepare the bi-weekly payment run and distribute remittance advices.

  • Provide payroll support to the finance manager.

  • Set up inter-account transfers as instructed.

  • Keep contact details in Xero current.

  • Support the finance manager to ensure the timesheet system is up to date.

  1. Administrative Support:
  • Support the office manager with travel plans, supplier rates, and other requests as required.

  • Perform administrative filing.

  • Provide absence cover for the enquiries inbox.

  1. Reporting:
  • Update the analysis of forecast files and balance sheet reconciliations with the finance manager.

  • Generate monthly cost center reports.

  • Prepare monthly reports or additional reports as requested.

  1. Miscellaneous:
  • Perform other ad hoc duties relevant to the role.

Education and Experience:

  • Part Qualified Accountant or qualified by experience.
  • Experience with Xero, ApprovalMax, corporate internet banking, and timesheet systems is desirable.
  • Essential understanding of VAT.

Basic Requirements:

  • Proficiency in Microsoft software packages (Excel, Word, PowerPoint, Outlook, etc.).
