Position: Personal Assistant to CEO
Location: London (Close to Fenchurch Street) - Hybrid Working Available
Employment Type: Part-Time (3 to 4 days per week)
Salary: £40,000 - £50,000 per annum (pro-rata)
Experience: Minimum 5 years

We are a well-established group of companies within the construction industry, proudly operating for over 16 years. Our headquarters are based in the heart of London, near Fenchurch Street, offering a dynamic and collaborative working environment. As we continue to expand, we are seeking an experienced Personal Assistant to support our CEO, who oversees the management of five companies within the group.

Role Overview:

We are looking for a highly skilled and proactive Personal Assistant with a minimum of 10 years of experience to provide comprehensive support to our CEO. The ideal candidate will have a proven track record of working with senior executives, preferably within the construction industry or a related sector. This role is pivotal in ensuring the CEO's day-to-day operations run smoothly, enabling him to focus on strategic initiatives.

Key Responsibilities:

  • Executive Support: Provide high-level administrative support to the CEO, including managing his calendar, scheduling meetings, and coordinating travel arrangements.
  • Communication Management: Act as the first point of contact for the CEO, handling all correspondence, filtering emails, and managing phone calls with professionalism and discretion.
  • Meeting Coordination: Organise and prepare materials for meetings, including drafting agendas, taking minutes, and following up on action items.
  • Project Management: Assist in managing various projects by tracking progress, coordinating with relevant stakeholders, and ensuring deadlines are met.
  • Documentation: Prepare and edit reports, presentations, and other documents as required. Ensure all files and records are maintained accurately and securely.
  • Confidentiality: Handle sensitive information with the utmost confidentiality and professionalism.
  • Relationship Management: Liaise with internal departments, clients, and external partners on behalf of the CEO, fostering strong working relationships.

Skills & Experience:

  • Experience: Minimum of 5 years of experience as a Personal Assistant, preferably supporting executives in the construction industry or a related field.
  • Organisational Skills: Exceptional organisational and time management skills, with the ability to prioritise tasks effectively.
  • Communication: Strong written and verbal communication skills, with the ability to interact with people at all levels.
  • Attention to Detail: High level of accuracy and attention to detail in all tasks.
  • Technology Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software tools.
  • Adaptability: Ability to work independently and adapt to a fast-paced, changing environment.
  • Professionalism: A calm and professional demeanour, with the ability to handle high-pressure situations with ease.
