Position: Commercial Property Secretary

Key Skills/Qualifications:

RSA Stage 1 or 2 Certification
Typing Speed: Minimum 60wpm with at least 80% accuracy; proficient in audio and copy typing
Strong written and verbal English communication skills; professional telephone manner
Proficient in Microsoft Word
Strict adherence to confidentiality

Experience Requirements:

Specialist experience in property law and general secretarial work
Excellent organisational skills and attention to detail
Team player with a well-organised approach
Flexibility, including willingness to work late if required
Ability to work effectively under pressure and meet tight deadlines

General Job Description:

Typing, correcting, and amending various legal correspondence and documentation; handling a high volume of typing tasks
Performing general administrative duties, including maintaining and updating case/client files, creating new files, referencing, and general filing
Providing professional telephone support, including answering internal and external calls and taking efficient messages
Keeping personal and lawyer's diaries up to date and booking meeting rooms as necessary
Checking post/voice-mail and email in solicitor's absence, ensuring urgent matters are addressed
Providing holiday/absence and pressure cover for other secretaries as needed
Preparing client bills for lawyer review and approval, and possibly undertaking chargeable work as directed
Adhering to firm's policies and procedures
Undertaking various tasks to ensure smooth office operation

Additional Responsibilities:

Conducting online and paper searches (e.g., Index Map Searches, commercial drainage, and water inquiries)
Amending leases, contracts, and reports; collating documents for client dispatch
Obtaining precedents from books or online sources
Handling Land Registry applications
Preparing and submitting draft SDLT returns online
Managing monthly billing and reporting for major clients
Regularly updating deeds bible for major clients
Possessing an overall knowledge of general commercial property transactions
Other:

Strong understanding of searches and how to apply for them
Capability to handle the complete commercial property transaction process
