Estates & Facilities Coordinator

  • Location: Office-based with frequent site visits
  • Job Type: Full-time 37 hours Monday to Friday
  • Salary: £18.99 - £19.81 per hour
  • Temporary contract until 31 March 2025

We are seeking an Estates & Facilities Coordinator to join our dynamic team. This role involves supporting the efficient, effective, and economic use of all land and buildings within the service. The ideal candidate will ensure that our properties meet service requirements, comply with relevant regulations, and are managed to achieve best quality and value.

Day-to-day of the role:

  • Support the Service on all property matters including management of planned and responsive maintenance issues logged via the Estates Management System.
  • Attend sites as required to oversee ongoing works, inspect progress, and report property defects to enable decision-making.
  • Assist in ensuring that the Service's land and buildings are efficiently used and comply with environmental regulations, conservation of energy and water, and legionella testing.
  • Coordinate the development and administration of estate records, including condition surveys and strategic estate planning.
  • Procure cost-effective contracts for ongoing maintenance and servicing, managing contractors and service providers to ensure professional standards are met.
  • Act as a point of contact in the absence of the Estates & Facilities Manager (EFM) for dealing with third-party professionals within the boundaries of property management.
  • Assist the EFM in managing Capital and Revenue expenditure within approved budgets.
  • Undertake additional duties of a similar level and responsibility as required.

Required Skills & Qualifications:

  • Proven experience in property management or a similar role.
  • Strong understanding of maintenance and statutory compliance requirements.
  • Ability to manage budgets and financial assessments.
  • Excellent organisational and project management skills.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Knowledge of health and safety regulations and best practices in facilities management.
