A beauty and fragrance company is looking for a Customer Service Coordinator to join their team. This is a full time permanent position based in Victoria, London, 35 hours per week, maximum 3 days in the office. Someone with the right attitude, who is hands on and has that willingness to learn is essential. This role will ideally suit a graduate who is looking for that first step into the working world!
Main duties:
- Process Sales Orders and work with the Commercial Department to ensure POs are raised in a timely manner and are correct. Ensure customer purchase orders are loaded onto Xero system.
- Liaise directly with customers on any order queries.
- Liaise with the external warehouse on customer dispatches.
- Input into internal systems i.e., Xero
- Manage customer order portals and their interfaces when applicable
- Create and issue invoices to customers
- Ensure payment deadlines are met by processing all invoices in a timely and efficient manner and liaise with finance department on adhoc queries.
- Maintain Product Master Data database and update for new products
- Provide general administrative support
- Full Administrative support; filtering, prioritising, re-routing and responding to queries in a timely and professional manner, both verbally and in writing.
- Raise Purchase Orders as required.
- Liaise with internal departments and external customers.
- Respond to and resolve a wide range of queries from internal and external stakeholders.
- Work with the Head of Supply chain to ensure customer orders are shipped on time.
- Complete any customer set up documentation and any other specific customer administration as required.
- Work with Sales and Marketing on the Amazon business.
- Organise samples and send out as required.
- Work with the Project Manager to ensure all orders are processed and launched on time.

Person specification:
- Strong written and verbal communication skills
- Positive 'can-do' attitude
- Ability to communicate effectively at all levels
- Administrative Skills - Confident and able to work with Microsoft packages particularly Excel
- Knowledge of a similar industry is preferable but not essential.
- Strong numeracy skills
