Customer Services & Accounts/Administration Assistant

We are seeking a dedicated Customer Services & Accounts/Administration Assistant to join a family-run company. The ideal candidate will have previous customer service and admin experience, a strong work ethic, and a desire to progress and take on additional responsibilities. This role offers the opportunity for further study and development within the company.

Day to Day of the Role:

  • Ensure containers are cleared, landed, and released, communicating any issues to customers promptly.
  • Check hazardous documentation with DGSA and make necessary amendments.
  • Communicate with operations for the daily count and manage the Operations inbox with precision.
  • Register containers in Gateway/Tilbury/Southampton VBS systems and verify details in Destin8.
  • Forward late runners and ancillary emails to the correct customers/groups and monitor waiting times for demurrage charges.
  • Advise on quotes using the company-approved tariff and maintain up-to-date information in truckcom.
  • Handle incoming calls professionally, chase for work, and book gensets accurately.
  • Arrange off-dock storage, process new Sub-contractor details, and maintain vehicle maintenance records.
  • Assist with Accounts Month End processes, reconciliations, forecasts, and management accounts.
  • Provide cover for Senior Accounts Assistant & Assistant Management Accountant as needed.

Required Skills & Qualifications:

  • Highly organised with exceptional attention to detail.
  • Excellent IT skills, including proficiency in Excel.
  • Strong communication skills, both written and verbal.
  • Good telephone manner and the ability to create professional relationships with customers.
  • Team player with a positive attitude and punctuality.
  • Willingness to support and assist directors and team members.
  • Commitment to continuous self-improvement and training development.
