Our client are a leading global professional services firm committed to excellence and innovation, with a strong focus on Environmental, Social, and Governance (ESG) principles. Their ESG team is at the forefront of driving sustainability and corporate responsibility initiatives across the firm.

Seeking a proactive and highly competent Personal Assistant (PA) to support the company Partner, ESG Lead, and team. This role requires an individual who thrives in a fast-paced environment, providing exceptional support in managing daily operations, complex tasks, and strategic projects. The PA will be a key liaison, ensuring seamless coordination and communication with internal and external stakeholders.

Key Responsibilities:

  • Complex Diary Management: Schedule and organise the Partner's and ESG Lead's activities, including identifying and resolving potential clashes.
  • Meeting Coordination: Organise and manage internal and external meetings, including preparation, logistics, and follow-up.
  • Travel Planning: Arrange travel logistics, including flights, hotels, and transfers, liaising with international offices.
  • Email and Correspondence Management: Proactively manage emails, prioritise correspondence, and draft high-quality documents and presentations.
  • Action Tracking: Maintain action lists for the Partner, ensuring timely follow-up and completion of tasks.
  • Relationship Building: Develop strong relationships with stakeholders and maintain a comprehensive knowledge of clients, mandates, and projects.
  • Administrative Support: Handle invoices, expenses, and maintain filing systems for efficient document management.
  • ESG Advocacy: Actively support ESG initiatives, contributing to the team's projects and reputation building.

Person Specification:

  • Experience in a professional services environment with extensive diary management.
  • Strong organisational skills, attention to detail, and ability to manage multiple tasks under pressure.
  • Excellent communication and interpersonal skills, with the ability to build relationships and influence stakeholders.
  • Proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint.
  • A proactive, adaptable approach with a willingness to embrace change and suggest improvements.
