Property and Facilities Assistant

We're recruiting a Property and Facilities Assistant to join our Performance Management, Quality and Risk team, working from our Head Office buildings in Bedford, with travel required to support our Operation Centres.

This role is responsible for all property and facilities maintenance across our business. Reporting to the Property and Facilities Manager, they will be responsible for ensuring property and facilities services are provided in an effective and efficient manner across the business.

Responsibilities include:

  • Liaising with internal and external parties and obtaining feedback, to ensure service requirements are met in accordance with service level and contractual arrangements.

  • Liaising with our network of facilities and building suppliers. Ensuring that you build and maintain strong working relationships to ensure all jobs are fulfilled on time and within budget and aid in the growth of the business.

  • Proactively monitoring multiple tasks, foreseeing logistic issues, prioritising urgent requests and taking action to ensure all requests are responded to in a timely manner.

  • Supporting the Performance Management, Quality & Risk (PQR) Team to manage any issues, complaints or disputes that are related to Facilities; helping resolve them quickly and efficiently to ensure we maintain a high-level customer/supplier satisfaction.

  • Identifying opportunities that will continuously improve all aspects of Facilities Management operations

  • Overseeing and assisting in the daily management of office contracts to include cleaning, maintenance, catering, plant maintenance and pest control, ensuring all SLA's and KPI's are met.

  • Assisting the Facilities department with office moves and other general ad hoc projects.

  • General health and safety duties including risk assessments, contractor monitoring and other statutory and not statutory site requirements.

  • Assisting with maintaining Copart property to an acceptable condition, utilising the approved external, cleaning, grounds & waste services and security contractors respectively, ensuring that the sites are fully operational at all times by completing site visits, which may require overnight stays.

  • Supporting the local management of environmental matters to ensure targets are met such as recycling targets and any issues are resolved.

  • Ensuring that signage at Head Office sites are appropriate and current at all times.

  • Demonstrating a permanent high level of security awareness and knowledge of emergency evacuation procedures, as well as general Health & Safety& EMS issues.

What we need from you:

  • Previous background in building & facilities maintenance
  • A good understanding of Health and Safety legislation.
  • A full driving Licence is essential
  • Self-motivated, with determination and confidence and a positive, enthusiastic and 'can-do' attitude to work
  • The ability to manage internal and external customers
  • A logical and common-sense approach to problem-solving
  • Meticulous attention to detail
  • The ability to work to deadlines, under pressure
  • Comfortable working on your own initiative as well as part of a team
