PA/Senior Administrator

JRRL have a great opportunity for a professional and experienced Personal Assistant/Senior Administrator to join a local business to support the Director of one of the busiest departments, whilst facilitating the running of the wider admin and reception teams. The role requires a highly organised and efficient individual who has the ability to anticipate demands, prioritise workload and adhere to deadlines, communicating at all levels with a strong attention to detail and good time management. The candidate will be required to have a high technical skill in the use of the Microsoft Suite, particularly Excel and the use of formulae.

**Hours: 9am to 5:30pm, office based

Key Areas of Responsibility for the PA/Senior Administrator:

  • Maintain a high degree of awareness of the director's workload, priorities and commitments, anticipating actions and requirements on their behalf
  • Oversee the Director's diary, working closely with him to schedule meetings both internally and externally.
  • Keep CMap figures/invoice schedules in accordance with the invoicing tracker
  • Creating projects on CMap
  • Overseeing the admin team and reception team. Ensuring reception duties are fulfilled. Overarching facilitation of the wider admin team.
  • Creating programme of works using ASTA Power Project
  • Analyse reports on CMap to distinguish areas of concern and then chasing the relevant people for information needed
  • Co-ordinate new starter information alongside HR/marketing. Carry out new starter inductions.
  • Liaise with directors and senior teams
  • Send the submissions tracker to CDM team with relevant projects
  • Ensure all invoicing is sent to the to the Director to authorise and updating CMap accordingly
  • Producing presentations on PowerPoint, for department and client meetings etc.
  • Organise meetings / events / social events / senior team meetings / department meetings / admin meetings etc.
  • Write up meeting minutes/action list and distribute to relevant people. Create meeting agendas for both internal and external meetings

Knowledge, Skills and Experience required for the PA/Senior Administrator:

  • Strong organisational skills, with experience in day-to-day diary keeping and administrative duties
  • Excellent communication skills and ability to liaise at all levels
  • Excellent IT skills and proficiency across all Microsoft software, particularly Excel (formulae), Outlook and Word
  • Strong attention to detail and time management
  • High level of personal integrity and a responsible attitude to handling confidential information
