Purchase Ledger Assistant

We are seeking a diligent Purchase Ledger Assistant to support our finance team. The successful candidate will be responsible for processing purchase ledger invoices, managing supplier payment runs, and maintaining accurate records. This role requires attention to detail and adherence to company policies and procedures.

Day-to-Day Responsibilities:

  • Process all purchase ledger invoices in a timely manner, ensuring adherence to company authorisation and approval procedures, standards of timeliness, and agreed payment terms.
  • Ensure costs are accurately entered against the correct group entity.
  • Execute supplier payment runs, utilising various payment options to minimise bank charges and maximise cash flow.
  • Maintain constant communication with the Treasury Controller for accurate cash flow predictions.
  • Reconcile supplier statements against received and processed invoices, resolving any discrepancies to maintain positive supplier relationships.
  • Keep accurate records, ensuring all paperwork is properly dated, signed, and filed regularly.
  • Assist with archiving documents to maintain an organised office environment.
  • Support the Purchase Ledger Controller with monthly credit card postings and tracker updates.
  • Assist with admin tasks, including data collation and preparation, updating and running reports from the Prophet system, and preparing audit files.
  • Send out remittances, update databases, create new codes, and maintain supplier databases across all companies.
  • Provide cover and support to other department members as required.
  • Engage in self-development and maintain high standards of communication both internally and externally.

Required Skills & Qualifications:

  • Proven experience in a purchase ledger or similar finance role.
  • Strong organisational skills and attention to detail.
  • Proficiency in financial software and Microsoft Office Suite.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Commitment to continuous professional development.
