Executive Assistant

We are seeking an Executive Assistant/Admin to provide high-level administrative and office support functions, reporting directly to the CEO. This role is crucial for coordinating effective, smooth operation of the organisation's administration processes and managing organisational human resources information.

Day to Day of the Role:

  • Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.
  • Oversee administrative policies within the organisation and within the office; recommend changes as appropriate.
  • Work closely with the CEO to ensure seamless operation of the organisation's administration processes.
  • Manage organisational human resources information, ensuring confidentiality and compliance with relevant legislation.
  • Operate within the strategic and operational plans, adhering to sector best practices.
  • Comply with Data Protection, Health and Safety at Work, and Equality and Diversity legislation, following policies and procedures at all times.
  • Collaborate with staff to deliver responsibilities and achieve agreed objectives.
  • Undertake additional duties as necessary, as directed by the line manager.

Required Skills & Qualifications:

  • English Language and mathematics qualification (GCSE or above).
  • Proficiency in IT literacy, particularly Microsoft Office Packages, and ability to work within multifunction database systems (e.g., Excel, CRM systems).
  • Strong organisational skills with meticulous attention to detail.
  • Ability to be flexible, prioritise workload, multitask, and meet deadlines.
  • Proactive, able to work on own initiative with limited supervision.
  • Excellent communication skills and professional representation of the organisation.
  • Discretion in dealing with confidential or sensitive matters.
  • Ability to introduce, review, and improve administrative processes to consistently high standards.
  • Knowledge of Health and Safety at Work, Data Protection, and Equality and Diversity regulations.
