Job Description

Support the Admissions function of Worksop College and Ranby House – working with the Admissions & Events Officer to achieve recruitment and retention targets whilst ensuring that the recruitment of new pupils is undertaken in a professional and customer-focused manner throughout the entire process.

Key Areas of Responsibility

Core - Admissions

  • To maintain the admissions database (OpenApply), ensuring enquiries are handled effectively and tracked right through to admission, including the production of up-to-date weekly status report
  • Be the contact for enquiries concerning admissions
  • Co-ordinate family visits, meeting personally as necessary with prospective parents and pupils to plan their admission to the School
  • Arrange taster days for prospective pupils, liaising with relevant members of staff
  • Support with the Scholarship application process, including enquiries, application forms, assessment days and results letters
  • Communicate next steps information following visits, open mornings, taster/transition days
  • Request references/safeguarding files from feeder schools and circulating to relevant staff
  • Prepare offer and acceptance letters
  • Provide all relevant Welcome Pack information for new pupils and their parent: handbook, uniform list and term dates

Alumni Relation

  • Alumni database support - log all data into the alumni database accurately and efficiently, including details of all alumni (OW) visits
  • Event administration - provide administrative support for alumni events as required, including but not limited to organising venues, managing RSVPs and preparing event materials
  • Act as a point of contact for alumni enquiries
  • Perform general administrative tasks such as scheduling meetings, preparing documents, and handling correspondence related to alumni relations

Essential Criteria

Experience of working in an educational environment is extremely desirable, though not essential. The ability and willingness to learn new skills will be taken into consideration

Experience of delivering a high level of committed customer service, and experience delivering information and/or responding to enquiries

Have strong IT skills including the ability to work proficiently with Microsoft Outlook, Word, Excel with the ability to adapt quickly to new software

Be a highly proficient communicator (listening, speaking and writing), and be able to maintain enthusiasm and professionalism

Have the ability to effectively identify enquirer requirements and proactively search, retrieve, collate and present information suitable for the required audience

Be able to work independently, manage workload effectively and balance the priorities of the department

Be pro-active, responsive, motivated, and approachable

Have a flexible and adaptable attitude, including occasional evening and weekend working and off-site

You may have experience in the following roles: Admissions Coordinator, School Admissions Assistant, Enrolment Officer, Registrar, Student Recruitment Officer, Admissions Administrator, School Secretary, Administrative Assistant, etc.
