Assistant Property Manager

Our client specialises in managing leasehold blocks of flats and housing estates throughout the UK, with most of their portfolio in London.

We are excited to offer an opportunity to join their dedicated, supportive and fun team in their London office. They are seeking a candidate to join their growing property management team as an assistant.

Requirements:

  • Minimum of 1 year of experience in a similar role.
  • Highly organised with the ability to prioritise, multitask, and have a strong attention to detail.

Responsibilities:

  • Assisting Portfolio Managers: Support tasks including scheduling, document preparation, and communication facilitation.
  • Drafting Communication: Create letters to residents and leaseholders about upcoming works, complaints, and issues within the development.
  • Service Charge and Ground Rent Reminders: Prepare reminders for leaseholders to ensure financial obligations are met.
  • Document Management: Merge and prepare documents for distribution, ensuring accuracy.
  • Distribution of Correspondence: Handle the printing and sending of letters electronically and via traditional mail.
  • Daily Correspondence: Communicate regularly with leaseholders, tenants, and contractors to address queries and coordinate works.
  • Financial Administration: Generate invoices, manage accounts, and ensure proper processing of financial transactions.
  • Record Keeping: File and archive property documents meticulously for organisation and future reference.
  • Invoice Verification: Verify the accuracy of received invoices, including billing addresses.
  • Database Maintenance: Update leaseholder contact details as necessary.
  • Utility Liaison: Work with utility companies to negotiate services or resolve issues.
  • Meeting Preparation: Help portfolio managers prepare for meetings by organizing financial data and issue lists.
  • Office Administration: Ensure smooth office operations, including preparing meeting rooms, welcoming clients, and managing daily post.
  • Contractor Liaison: Coordinate with contractors for quotes, access, and task completion.
  • Issue Management: Track ongoing issues, obtain quotes, and follow up on actions.
  • Telephone Etiquette: Answer phone calls promptly and professionally.
  • Key Management: Manage the signing in and out of keys for contractors and arrange for key/fob duplication and delivery to residents.

Salary: up to £24,000 - £30,000 depending on experience.
