Finance Assistant

We are seeking a dedicated Finance Clerk to join our team, reporting directly to the Finance Officer. This role is ideal for someone with a strong background in financial operations, possessing excellent organisational and data entry skills. The successful candidate will be instrumental in managing school accounts and lettings, ensuring financial procedures are meticulously followed.

Day-to-day of the role:

Main School Accounts

  • Place and process orders and invoices, ensuring adherence to financial procedures and budget limits.
  • Ensure timely banking of receipts and accurate recording of income on the Finance System.
  • Liaise with suppliers regarding outstanding orders and payment of invoices.
  • Maintain an accurate filing system for all financial files and records.
  • Complete necessary reconciliations to ensure the accuracy of accounts as directed by the Finance Officer.

Lettings

  • Raise invoices for all external lettings in accordance with agreed rates and terms.
  • Ensure timely payment of lettings invoices within credit terms.
  • Maintain the schedule of lettings and update the school lettings calendar.
  • Liaise with school staff and external hirers to ensure smooth operation of lettings and maximisation of external income.

General

  • Manage the Finance Department's incoming and outgoing post.
  • Provide support and assistance to the Finance Team as required.
  • Handle initial enquiries to the department and ensure resolution.
  • Manage emails to the finance enquiry post box.
  • Perform any other duties as requested by the Headteacher while maintaining appropriate levels of confidentiality.

Required Skills & Qualifications:

  • Financial experience or a relevant qualification (e.g., NVQ Level 2).
  • Proficient in data entry with strong keyboarding skills and attention to detail.
  • Excellent organisational skills and understanding of financial systems.
  • ICT literate with proficiency in Microsoft Office, especially Excel.
  • Experience in credit control and understanding of financial controls.
  • Strong communication skills and ability to work confidently with staff at all levels, suppliers, and external hirers.
  • Good interpersonal skills and a team player.
