Part Time Office Administrator/Receptionist

To support our organisation we are seeking an experienced Office Administrator/Receptionist for our prestigious London office on a part time basis. Reporting to the Facilities Manager, the role will include daily set up and upkeep of the office allowing the office to be run smoothly and efficiently as well as assisting the employees.

The hours will be 8.30am -2.00pm Monday to Friday.

Principal Responsibilities

Your role will include, but not limited to:

  • Meeting & greeting external guests and visitors
  • Answer telephone calls, email queries and front door
  • Make sure all meeting rooms are prepared to a high standard before meetings and to ensure that meeting rooms are left tidy afterwards
  • Assist in preparing for meetings, video/audio conferences
  • Arrange refreshments and lunch for meetings
  • Support in organising events for the company
  • Check kitchen provisions and ensure that the weekly food delivery is ordered and unpacked
  • Ensure that the reception area is left clean and tidy and to a high standard each day
  • Deal with any deliveries and couriers
  • Check stationery stock and order, or required and ensure that cupboards are tidy
  • Change copier toners when required. Order replacements as needed
  • Shred papers/documents if requested and empty shredder when full
  • Adhoc duties as and when required; support the facilities team, photocopying, binding, scanning and filing
  • Kitchen maintenance, keeping them stocked, clean and good working order
  • Create new starters key access cards & capture of staff pictures
  • Assisting with arrangement of office maintenance/ engineers
  • Management of stock deliveries - food, water, coffee ect
  • Office checks & audits completed daily
  • Distribution of daily post - Scanning & emailing to correct department & stamping outgoing post
  • Office register daily
  • Support with travel bookings, online ordering and credit card purchases when required
  • Work as a team with the Facilities group

It would be great if you had the following:

  • Previous customer service experience
  • Experience of working in a professional environment

  • Ability to build effective relationships internally and externally

  • Full working knowledge of Microsoft Office programmes including Excel

  • Ensure confidentiality at all times

You will be joining an established facilities team and may occasionally be required to cover colleagues based in our head office in Weybridge.
