Operations and Engineer Co-ordinator

Fantastic opportunity for either an experienced Engineer Scheduler or strong administrator to work alongside a small team to provide administrative support to the daily operations of the business and to efficiently run the customer service helpdesk. Within this key role you will take ownership and responsibility for the performance of the helpdesk operations, and provide business support.

Key Responsibilities:

  • Maintain a close eye on all jobs and tasks that are ongoing and upcoming.
  • Be accountable for the administration and scheduling tasks, ensuring all tasks are completed efficiently and effectively.
  • Handling and managing incoming/outgoing calls in a professional and polite manner.
  • Manage the workflow, liaising with clients and subcontractors to schedule works.
  • Processing of new and existing jobs on our field service software (including allocating engineers and subcontractors).
  • Schedule Engineers and ensure the planner is accurate and up to date
  • Responsible for vehicle management – ensuring all MOTs and services are carried out on time
  • Monitor trackers and tracking software to oversee exactly where the engineers are and preempt any issues that may occu
  • Liaising with suppliers – obtaining prices, placing and following up on orders.
  • Responsibility and accountability for new contracts, including raising purchase orders and accurately setting new or revised asset schedules, updating planned service schedules and ensuring the accuracy of the contract amendments to ensure the smooth performance of every contract.
  • Forward planning processing, including follow-up quotations and liaison as necessary and ensuring works are completed in the expected manner and correctly closed off.
  • Processing quotations from supplier and subcontractor reports.
  • Provide support to the rest of the management team and Directors.
  • Supporting and helping to maintain our various accreditations, including ISO9001 Quality Management, our various trade body memberships and accreditation schemes and our Health and Safety systems.
  • Managing complaints and compliments and tracking performance. Report information to Business Manager for recording with the quality system.
  • Supporting operations team to maintain accurate schedules
  • General office admin including ordering stationery, post, filing
  • Assist with issuing quotations

Skills and experience

  • Proficient in all Microsoft software and an ability to learn new software.
  • Knowledge of service and logistics scheduling software
  • Commercially aware and able to identify opportunities as they arrive in the course of normal duties.
  • A good communicator at all levels – both written and verbal.
  • Able to prioritise and organise the ever-changing workload.
  • Proactive with good attention to detail.
