Harris Boys' Academy East?Dulwich?opened in September 2009 and is part of the Outstanding Harris Federation. Harris Boys' benefits from a state-of-the-art purpose-built building with the very latest facilities and equipment. The Academy offers a co-educational Post 16 with the nearby Harris Girls' Academy, together comprising capacity for 400 Sixth Formers. Harris Boys was judged to be an outstanding school by Ofsted in November 2023.

Main Areas of Responsibility

Your responsibilities will include:

  • To provide a full secretarial and administrative service for the Senior Leadership Team.
  • To present the professional and welcoming face of the academy to all visitors, staff and students, including telephone callers and organising refreshments as appropriate.
  • To have a positive approach when working with all stakeholders and to act as a positive role model to staff and students. To maintain confidentiality at all times.
  • To keep all pupils' records up to date and accurate (both electronic and hard copy) alongside the Academy Secretary and Receptionist.
  • To assist in administering the detentions process alongside the Behaviour Administrator, including liaison with parents, staff, students, and ensuring accurate records are published, entered onto system and maintained.
  • To deal with all correspondence, telephone calls, e-mails, filing, visitor enquiries for Senior Leadership Team and to assist on Reception as required
  • To cover lunch and break duties as well as lesson change-over as directed by the HR Administrator
  • To deputise for the Principal's PA where necessary or required
  • To assist with Admissions process including attending all open events and assisting with Admissions Testing
  • To attend all Parents' Evenings and information events
  • To follow and adhere to all routines, expectations and policies implemented by the Governing body and the Principal and to take whole school responsibility where required
  • To actively promote the Academy ethos, Equal Opportunities and Diversity Policies
  • To be fully aware of, actively engaged in and compliant with the Academy's Safeguarding and Child Protection policy at all times
  • To carry out any training courses identified and recommended
  • To undertake all administrative tasks directed by Principal's PA in furtherance of SLT & Teaching Staff roles including administration in connection with Enrichment, Timetable Tasks, Primary Liaison Visits, Rewards & Ceremonies and the organisation of other School Events, Letters to Parents etc
  • To undertake Word Processing, Excel & Power Point functions as well as CMIS.net computer based administration for the SLT and to maintain SLT Diaries
  • To design, update and amend School Calendar annually in consultation with SLT & other staff
  • To run diaries of Senior Leadership Team, making appointments and ensuring that they are aware
  • To take Minutes & set Agendas for Meetings under the direction of SLT
  • To work with & support other Academy Office Administrative Staff as required & to communicate effectively with other Administrative Staff to ensure common tasks completed smoothly.
  • To extend hospitality to visitors to the school
  • To attend to such duties as requested by the Senior Leadership team to enable the smooth running of the school on a daily basis
  • To ensure that SLT are fully briefed on all Academy matters as communicated to post holder via Parents & other stakeholders

Qualifications & Experience

We would like to hear from you if you have:

  • Appropriate degree or equivalent level of education
  • Trained in the use of a variety of ICT packages
  • Knowledge of personal assistant roles and responsibilities
  • At least 2 years working in school or other educational establishment
  • Working in an inner city school or with inner city students
  • Experience of managing staff in relation to the PA role
  • Some experience of human resources e.g. recruitment and/or monitoring attendance
  • Experience of working to targets and deadlines
  • Experience of managing meetings including preparation and circulation of papers, minutes and ensuring information is circulated as required
  • Experience of managing diaries at a high level, including communication with a range of audiences.
  • Experience of managing high profile events
