Starting salary £22k per annum reviewed after six months and then annually

Office Based essential Bingley BD16

Office hours: October to May: 08am to 15:30 with half an hour lunch break

June to September: 08am to 17:00 with an hour lunch break

Job overview:

A large part of the role of a compliance and administrative assistant is to support immigration advisers with the student registration process. It is all about making sure the appropriate documents are on file to ensure UKVI compliance regulations are adhered to.

Ensuring that our clients are able to demonstrate compliance in all areas of its Student Sponsor licence obligations is mission critical. Failure to demonstrate compliance could result in the suspension or revocation of our clients Student Sponsor license.

You will be a motivated, innovative and adaptable professional with interpersonal skills. Previous experience of intercultural work, giving administrative support and database skills are not critical as full training will be given.

Role responsibilities but not limited to:-

  • Holmes & Partners operates a Case Management System (CMS) - Clio. All staff are required to:-

  • Ensure all data entered is 100% accurate at all times

  • Checking case files to ensure all Appendix D documents have been obtained

  • It will be the responsibility of the compliance and administrative assistant to upload all Appendix D documents to the school's relevant database – mission critical.

  • Ensuring case files are constantly maintained and updated with correct information e.g. new passport numbers and expiry dates

  • Use Clio to produce records for the client e.g.

  • Master spreadsheet

  • Termly registers

  • List of passports expiring within 3 months

  • List of visa expiries for the specific academic year

  • List of Agents

  • Provide support to the immigration advisor and list all outstanding documents to be obtained from third parties

  • Provide other support e.g, recording post on spreadsheets, scanning, and copying of documents, booking meeting rooms.

  • Provide an excellent service (in accordance with company or client specific service levels) respond to emails and telephone enquiries in a timely manner and ensure that administrative support is comprehensive and accurate

  • Maintain a high level of professional conduct and appropriate dress when dealing with clients and at external work-related events.

  • Escalating concerns or issues to the Operations Manager

Primary Objectives:

  • Working under supervision, as a designated compliance and administrative assistant
  • Maintaining accurate documentation and case files at all times.
  • Liaising with immigration advisers for clarification of more complex issues affecting non-UK students, including non-Student visa related issues such as Short-term study visas, visas under the EU Settlement Scheme, Visitor Visa, entry to the UK via e-Gate, lost BRP, ATAS application and Police Registration on arrival in the UK.
  • Working with professionalism, honesty and integrity always maintaining confidentiality and to model the company values.
  • Ensuring that each case file is handled expediently, accurately, in compliance with local immigration law and consistent with Holmes and Partners Ltd.'s standard.

Person Specification (E = essential, D = desirable)

  • Communication skills (E) – you will be friendly and polite on the phone, and type up accurate letters and emails with no spelling mistakes if needed
  • Teamwork skills (E) – you will follow given instructions and fit in with team members in the office
  • Self-management skills (D) – you will be instructed what to do, but you can impress by planning and organising your workload
  • IT literacy (D) – knowledge of Microsoft Word and Excel is desirable but not essential as full training will be provided
  • Attention to detail (E) – you will be working with very sensitive data and will need to ensure the data provided to clients are always 100% accurate
