Are you an organized and proactive individual looking to contribute to the smooth operation of our Estates department? We are seeking a Facilities Administrator to provide general administrative support and help deliver outstanding service across our Group Estate. Join our team and ensure high levels of stakeholder satisfaction with consistent, effective service performance.

Main Responsibilities:

  1. General Administrative Support: Assist in all operations of the Estates department as directed.
  2. Service Desk Administration: Operate as a service desk administrator, receiving and inputting service requests via phone, email, or computerized system in a timely and accurate manner.
  3. Request Management: Relay service requests to the in-house team and/or external contractors, managing timely responses from inception to completion within our KPIs.
  4. Communication: Maintain close communication with Estates Team members at all sites and external suppliers to ensure effective, efficient, and high-quality services.
  5. Customer Updates: Ensure customers are informed of the progress of their service requests and take remedial action to resolve any issues.
  6. Database Maintenance: Assist in maintaining various departmental databases, ensuring data accuracy.
  7. Electronic Diary Management: Update the department's electronic diary with information on room layouts, meetings, examinations, and special events, ensuring Estates staff are advised of special requirements.
  8. Purchasing and Invoicing: Raise purchase orders, receive goods, validate invoices, and ensure cost-effective ordering and financial record maintenance in adherence to organizational financial regulations.
  9. Key Issuance and Access Management: Issue keys to staff, maintain appropriate records, and arrange general access and egress.
  10. Annual Leave Records: Assist in maintaining annual leave records for the department.
  11. Training Records: Assist in maintaining training records for the department.
  12. General Office Duties: Answer phones, file documents, and handle inquiries from staff, students, contractors, and visitors efficiently and in a friendly manner.
  13. Mail Handling: Assist in sorting and franking mail, and managing couriers.
  14. Print Room Support: Support the Print Room Supervisor in delivering printing and copying services during high demand or absence.
  15. Premises Maintenance: Help ensure that premises are maintained to a safe standard and take an active role in this regard.
  16. Health and Safety Training: Undertake appropriate Health and Safety training to ensure competence in reporting and resolving health and safety matters.
