Maritime Personnel Coordinator

Position Overview:

The Maritime Personnel Coordinator (Crewing) Coordinator plays a pivotal role in ensuring the seamless deployment and management of qualified mariners for company contracted vessels. This position primarily focuses on personnel logistics, encompassing crew travel arrangements, documentation, and compliance.

Responsibilities:

Verify Credentials:

Verify crew USCG and STCW credentials to ensure compliance with industry standards.

Validate regulatory, customer, and company training requirements.

Maintain accurate personnel records for mariners through data entry into relevant systems (e.g., NS5) and documentation files.

Travel Arrangements:

Arrange and coordinate travel for mariners to/from vessels, adhering to company policies.

Handle air, ground, or water taxi arrangements and lodging.

Collaborate with travel agencies and vendors to secure cost-effective options.

Booking Flights: Arrange air travel for crew members to join or leave vessels. Consider factors like departure/arrival times, layovers, and cost-effectiveness.

Ground Transportation: Coordinate ground transportation (e.g., taxis, shuttles) between airports, seaports, and crew accommodations.

Arrange transportation from the vessel to the airport or designated location.

Handle crew-related paperwork (e.g., discharge certificates).

Coordinate with crewing agencies.

Accommodations: Secure lodging for crew during transit or rest periods.

Sign-On and Sign-Off Coordination:

Input and verify accuracy of sign-on and sign-off dates for mariners and vessels.

Coordinate crew changes efficiently, minimizing downtime between rotations.

Administrative Support:

Assist with company administrative reporting requirements.

Handle auxiliary crewing functions such as I-9, DOT verification, EPIC, E-verify, discharge, medical billing, reimbursements, training, investigations, budgeting, accounting, invoicing, activations, and compliance.

Requirements:

Education: High school diploma or equivalent. College courses are desired, and an associate's or bachelor's degree is preferred.

Experience: Minimum of 1 year in a demanding personnel logistics, crewing or operations administration position or closely related role.

Skills/Knowledge:

Strong administrative, organisational, cooperation, interpersonal, and multitasking skills.

Proficiency in Microsoft Office applications.

Ability to prioritize tasks and adapt to a changing environment.

Understanding of business processes and functions in Marine or Oil and Gas Industry
