We're currently looking for a talented PA & Finance Assistant to join our client's team. As a small business that has grown over the past 9 years, our client has an amazing core team and a global client base.

  • Please note this role will start in June to have a handover with the existing PA & Finance Assistant, so please only apply if you are available immediately or require 1 weeks notice. *

As the PA & Finance Assistant, you will play a crucial role in supporting our client's CEO/Founder. Your main responsibilities will involve managing their diary and ensuring that their time is prioritised and organised effectively. Additionally, you will be responsible for handling financial administration tasks such as invoicing, payroll, and ensuring compliance.

In this role, it's essential that you are a proactive and detail-oriented individual who can take the pressure off our client by handling diary management efficiently. You should also possess excellent communication skills to liaise with clients and colleagues professionally.

Job Title: PA & Finance Assistant

Location: Remote, however you are welcome to visit the offices based at the CEO's home, once a week near Ashford, Kent. Your own transport is required due to the location of the company.

Hours: Monday - Thursday, 9am - 3pm or 9am - 5pm, there is lots of flexibility with hours available.

Salary: £35,000 FTE. If you worked 32 hours a week = £29,868pa or 24 hours a week 9am - 3pm = £22,402pa

Below are the key duties and responsibilities:

  • Booking client and internal meetings
  • Overseeing the CEO's diary and flagging any clashes that may arise
  • Setting up coaching and payment structures
  • Preparing agendas and circulating essential documents prior to meetings
  • Assisting with flight and accommodation research/bookings
  • Handling visa applications and ensuring all required documents are collected
  • Managing receipts and booking travel arrangements appropriately
  • Setting up clients in the financial management system
  • Creating and managing client invoices, ensuring they align with POs and budget trackers
  • Submitting client invoices and updating relevant dashboards
  • Managing payment of supplier invoices and reconciling them against POs
  • Generating and managing the Debtors Report and following up on overdue payments
  • Collecting and submitting monthly staff timesheets and expenses
  • Managing monthly staff payroll payments
  • Creating monthly reports related to salaries, PAYE, and employee costs
  • Creating and sending out consultancy agreements
  • Managing Microsoft onboarding for all associates
  • Assisting with background checks for new associates
  • Assisting faculty with client meeting setups and expense management

We are looking for someone with experience as a PA/Executive Assistant, particularly in organising and managing diaries. Additionally, candidates should have finance administration experience, including invoicing, budgeting, and basic accounting skills. Excellent IT skills, especially in MS Word, Excel, and PowerPoint, are also required.
