Facilities Manager

ABOUT THE ROLE

As result of recent business growth, our client is looking to recruit a Facilities Manager to join the property, facilities and asset management team. The new recruit will be responsible for the management of a diverse commercial property portfolio located in Central London and the UK. The role will require regular and direct communication with clients, asset and property managers, occupiers and suppliers.

This is a diverse and rewarding role, and the successful candidate will benefit from regular and strategic communication with the in-house property and asset management team, as well as directly with , occupiers and suppliers.

Established in 2010, our client is an investment, asset and property management business based in London and Nottingham with assets under management around the UK and Europe.

DUTIES AND RESPONSIBILITIES

The successful candidate will have demonstrated a strong track record in setting budgets and ensuring that the annual service charge expenditure is closely monitored and effectively implemented. Furthermore, the candidate will have a solid understanding of Health & Safety and compliance matters ensuring that all properties meet current mandatory and statutory regulations. An ability to effectively engage with contractors, tenants and site staff in a professional and confident way, is a prerequisite for the role.

Other Responsibilities

  • Take ownership and be responsible for delivering operational facilities management related activities as set out in our PMAs (Property Management Agreement) and/or any other client agreed initiatives.
  • To assist in the delivery of an unrivalled 'customer experience'.
  • To take a lead on securing utility rates, managing power consumption and verifying tenant utility recharges.
  • To regularly liaise with occupiers and be the principal point of contact for advice and guidance in connection with the day-to-day physical operation of the building.
  • To inform our Property & Asset Management teams of any occupier matters that may arise which could influence the assets' valuations and/or other investment considerations.
  • To monitor Tenant's compliance.
  • To report to the Head of Facilities Management on matters relating to standards of facilities management and providing (monthly) written updates as may be required.
  • To work in accordance with established procedures in connection with out of hours emergency cover.
  • To assist with the financial management of the property through the preparation of service charge budgets, the monitoring of agreed budgets, approving invoices and checking quarterly variance reports and year-end service charge reconciliations.
  • To understand and adhere to the principal terms of each occupiers' leases and the clients' obligations to provide services to the occupiers.
  • To ensure that the procurement of all supplies and services at the property are undertaken to the highest standards and for the best possible prices.
  • To run a full tender process across all large contracts at least once every 3 years.
  • To monitor contractor performance against agreed standards and review service contracts on a regular basis.
  • To establish and maintain high quality health and safety arrangements, in accordance with legislation & best practice guidelines.
  • To ensure all risks identified in the independent risk assessments are proactively addressed and reviewed in line with risk priorities.
  • To work towards achieving high environmental & sustainability standards across the portfolio.
  • To ensure reactive maintenance and day-to-day service requirements undertaken in a timely and cost-effective manner.
  • To be familiar with all heating, ventilating, mechanical and electrical equipment in each building and have a sound understanding of the purpose and general working of such equipment.
  • To assist and liaise with building surveyors/architects/consultants on any major works.
  • To maintain, test and implement Pollution Recovery procedures to cover all environmental emergencies.
  • To organise and coordinate fire evacuation drills.
  • To prepare and issue Permits to Work for all contractor activities on site.
  • To ensure that on-site management of the properties is undertaken in accordance with the company polices, processes and procedures.
  • To establish and maintain proper site records on the in-house property management systems.
  • To develop and maintain occupier handbooks & emergency plans as per defined standards for each site.
  • To monitor void offices in conjunction with the clients' insurance policy.
  • To assist in the submission of insurance claims relating to incidents on site.

QUALIFICATIONS AND EXPERIENCE

  • Proven capability as a Facilities Manager within commercial property management with at least 3 years' experience in a similar role.
  • Good commercial acumen with an ability to provide sound advice to occupiers & stakeholders.
  • IOSH qualification is desirable.
  • Experience using CAFM systems

  • Positive attitude, true team player with a 'can do' approach.
