The Role:

We are seeking a committed full time Exams Officer who is responsible for undertaking the efficient and effective organisation of the school's examination processes (external & internal) across the Senior Divisions from September 2024.

Main Responsibilities:

Examination Policies:

  • Preparation of documents required by examination authorities, for approval by Senior Management

Estimated Entries/Entries:

  • Liaise with Heads of Department to provide appropriate numbers of candidates to be entered for various specifications with the different exam boards
  • Obtain lists of candidates from Heads of Department to be entered for examinations.
  • Submission of entry information to examination boards electronically
  • Send out examination timetables to the students and parents

NEA (Non-Examined Assessment) Administration:

  • Liaise with Heads of Departments to enter and submit NEA marks and process paperwork relating to coursework to ensure that information is sent to the exam boards by the stated deadlines

Management of Centre Access to Exam Boards websites:

  • Process requests from teaching staff for access to exam board resources online

Access Arrangements/ Special Consideration:

  • Liaise with Head of Learning Support to compile lists of students who require Access Arrangements in exams and submit this information to the relevant exam board online
  • Work with the Learning Support Team to ensure all paperwork is completed for students with Access Arrangements to comply with JCQ regulations
  • Process applications for special consideration for students whose performance in the examinations is affected by unforeseen events (eg. Illness, domestic problems), during and after the exams
  • Maintenance of records for inspection by authorities if required

Management of Invigilation Team:

  • Arrange invigilation, including recruitment, briefing and training invigilators in school procedures

Timetabling:

  • Check candidate statements of entry produced by exam boards and prepare student examination timetables
  • Issue exam timetables to pupils and deal with queries, liaising with parents and pupils and dealing with issues

Running of Examinations:

  • Managing the daily running of external exams and mock exams
  • Access Arrangement Briefing- issue instructions, written and verbal, to students
  • Liaise with examination boards to keep them informed of changes/developments and inform staff and pupils affected.
  • Receive, check and store securely exam resources in line with exam board standards.
  • Where necessary, deal with JCQ inspectors and present any necessary documentation to them.

Results:

  • Assist in the distribution of results on both A Level and GCSE results days
  • Support the post-results procedure for staff and pupils and process all EAR requests.

Salary and Conditions:

The hours of work are 8:30am to 5:00pm Monday to Friday with a one-hour unpaid lunch break. However, some flexibility will be required, particularly during exam season. It is a position that is worked during term time plus some additional weeks outside of term time. The salary will depend on relevant experience and qualifications. A contributory pension scheme including life assurance is available.
