We are looking for a Document Administrator to join our team. The successful candidate will be responsible for processing and monitoring export documentation, ensuring that strict deadlines are met and documents are presented accurately and without discrepancies. This role is crucial in supporting the Sales Administration Supervisor and the documentation team.

Day-to-day of the role:

  • Manage export documentation tracking systems, keeping them up to date at all times.
  • Submit export and customs data to relevant parties and inspection reports to inspection agencies.
  • Check draft documentation for compliance with customer requirements and create documentation presentations.
  • Liaise with overseas agents regarding export schedules and documentation status.
  • Invoice exports via our order management systems and perform final compliance checks on documents produced by the larger documentation team.
  • Enter letter of credit data into order management systems and ensure all sales documentation is received and electronically stored.
  • Provide general assistance to the accounts team, including scanning and sending invoices to the accounts payable team, sending invoices to overseas customers, and investigating enquiries and discrepancies.

Required Skills & Qualifications:

  • Knowledge or experience in letters of credit and export documentation is preferred.
  • Exceptional attention to detail and accuracy.
  • Strong numeracy skills and the ability to prioritise tasks effectively.
  • Innovative use of systems to improve and ease the administrative load.
  • Excellent planning and prioritisation abilities.
  • Good interpersonal skills with strong written and oral communication skills.
