  • Salary Range: £28,000 - £34,000 per annum

  • Working Hours: 36.5 hours per week with hybrid working options available

We are seeking an experienced Executive Assistant for a maternity cover contract to provide comprehensive support to a C-suite individual. The ideal candidate will have a proven track record in managing complex diary arrangements, minute taking, and handling confidential information with discretion.

Day-to-day of the role:

  • Communicate effectively with internal and external stakeholders, maintaining confidentiality.
  • Manage complex diary arrangements, including travel time, remote meetings, and different work locations.
  • Organise correspondence, prioritise items of business, and initiate correspondence as instructed.
  • Provide full support in daily activities, ensuring deadlines are met.
  • Suggest, develop, and implement systems to increase administrative efficiency.
  • Organise meetings, including booking venues, arranging catering and AV requirements, sending invitations, and taking minutes.
  • Coordinate travel arrangements, including flights, accommodation, and meeting setups.
  • Maintain comprehensive records, including filing documents and typing up notes, action points, and minutes.
  • Liaise with a diverse range of individuals, from scientists to senior international figures.
  • Field telephone calls and emails, and handle incoming enquiries.
  • Meet and cater to the needs of internal and external visitors.
  • Collate and format agendas, reports, and slides.
  • Troubleshoot and solve IT problems, supporting the Deputy Divisional Registrar's IT needs.
  • Work collaboratively within a team of administrators, providing cover and support as needed.

Required Skills & Qualifications:

  • Experience in an Executive Assistant role, preferably within a similar environment.
  • Proficiency in minute taking and managing confidential information.
  • Strong organisational skills with the ability to manage complex diary arrangements.
  • Excellent communication skills and the ability to liaise with a wide range of stakeholders.
  • Proactive in improving administrative processes and systems.
  • Competent in IT with the ability to troubleshoot and solve problems.
  • Ability to work effectively both independently and as part of a team.
