Sales Administrator / Internal Sales Executive

Job Title: Sale Administrator / Internal Sales Executive
Department: Sales
Reports To: Internal Sales Team Leader
Major Functional Relationships:

  • Principal Purpose of the Role

To provide comprehensive support to the Sales Department by preparing technico-commercial offers, processing orders, maintaining prospect and customer records, and coordinating administrative and marketing activities to ensure efficient sales operations.

**Key Responsibilities & Key Result Areas (KRAs)

Sales Support & Quotation Management

  • Prepare and submit accurate technico-commercial offers for products and services.
  • Ensure prompt turnaround of quotes and commercial offer follow-ups until purchase order (PO) receipt.
  • Liaise with Regional Sales Managers, agents/distributors, and internal departments to ensure alignment and timely communication.

Order Processing & Data Management

  • Process POs using ERP system, ensuring correct specification configuration in collaboration with engineering and sales teams.
  • Manage weekly Order Intake spreadsheet, capturing all incoming orders, additional costs, and adjustments.
  • Conduct weekly audits of new orders on ERP to ensure data accuracy.
  • Update and issue the Global Order Record monthly.

CRM & Prospect Management

  • Attend prospect list meetings and update operations team on incoming orders.
  • Prepare and issue updated prospect lists.
  • Maintain and update CRM and Global Order records.

Agency & Distributor Coordination

  • Provide updated dashboards on agency agreement status to Regional Sales Managers.
  • Collate and submit agency document packs for internal and Trelleborg Compliance approval.
  • Ensure proper filing of agreement documents per company policy.

Administrative & Marketing Support

  • Liaise with Chamber of Commerce, FCO, and Embassies for document attestation.
  • Assist in completing and submitting vendor questionnaires.
  • Perform stock takes of brochures and coordinate reorders with marketing.
  • Send brochures and marketing materials as requested.
  • Assist in preparing marketing brochures, banners, and sales presenter slides.
  • Suggest updates to brochures and materials to Business Development Director/Marketing Manager.

Customer Engagement & Reporting

  • Send and follow up on customer satisfaction questionnaires monthly.
  • Prepare product/service information packs and coordinate seminar/demo room materials.
  • Perform administrative duties including visa support letters, PP letters, and sales record maintenance.
  • Apply for export trade approvals and coordinate complex tender document submissions.
  • Prepare reports and forecasts as required.

General

  • Perform any other reasonable verbal or written requests not explicitly listed in this description.
