**About the Role
As a Client Services Administrator, you will play a key role in supporting financial advisers and client relationship professionals in delivering a high-quality service to a portfolio of private clients. You'll be responsible for managing client documentation, coordinating review processes, and ensuring that all administrative tasks are completed efficiently and in line with regulatory standards.
This role is ideal for someone who enjoys variety, takes pride in accuracy, and is confident communicating with clients and providers alike.
**Key Responsibilities
- Prepare and process new client documentation, ensuring compliance with AML and KYC requirements.
- Maintain accurate and up-to-date client records using internal CRM systems.
- Handle client queries via phone, email, and in person, ensuring timely and professional responses.
- Coordinate and schedule client meetings, managing adviser diaries effectively.
- Draft and issue client correspondence, including policy summaries and follow-up communications.
- Assist in the preparation of annual review packs and financial planning documents.
- Liaise with internal teams to gather performance data and valuation reports.
- Ensure all documentation is compliant and ready for adviser meetings.
- Support the processing of new business applications and policy amendments.
- Communicate with product providers to obtain policy information and resolve queries.
- Track progress of applications and keep advisers informed of key updates.
- Welcome clients to the office and ensure a professional and friendly environment.
- Assist with general office duties including supplies, mail handling, and meeting room setup.
- Support internal meetings, training sessions, and team events.
**What We're Looking For
- Previous experience in a financial services administration or support role.
- Strong organisational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Confident using CRM systems and Microsoft Office applications.
- A proactive, team-oriented approach with a willingness to learn.
- Knowledge of financial products and regulatory requirements (desirable but not essential).
