The role involves providing comprehensive project support and administrative assistance within the Finance and Corporate Services (FC&S) team.

Key Responsibilities:

  • Reporting Structure: The PMO Analyst will report to the FC&S Executive Assistant with a dotted line to the PMO Lead.
  • Project Support: The role involves managing a range of project support activities, including tracking actions, ensuring updates are communicated, and escalating issues to relevant stakeholders.
  • Communication: The candidate must be a strong communicator, capable of building and maintaining relationships with stakeholders at all levels in a fast-paced environment.

Core Duties:

  • Onboarding: Managing the induction process for new hires, including ordering IT equipment, processing security forms, and handling the consultant tracker. This also includes managing the first day induction process.
  • Action Tracking: Monitoring and following up on project actions, ensuring regular updates from task owners.
  • IT Management: Ensuring all consultants maintain IT compliance by logging into accounts regularly.
  • Purchase Order Management: Raising Purchase Orders and receipting invoices for the Ad Astra programme.
  • Team Events: Assisting in coordinating and managing logistics for team events.
  • PMO Support: Maintaining core team documents, managing SharePoint access, addressing IT-related queries, and attending various governance meetings to record minutes and actions.
  • Stakeholder Coordination: Acting as the central contact for booking time with Programme Sponsors, Directors, and other stakeholders to avoid conflicts.
  • General Admin Support: Providing administrative support to the Programme Leadership Team, including room bookings, visitor registration, and travel arrangements.
