Academic Office Manager

We are seeking an Academic Office Manager to lead the administrative support for the successful running of academic activities at a further education facility. The successful candidate will manage the daily activities of the Academic Office, including supervision of two Academic Officers, and will take responsibility for examination arrangements, supporting students facing challenges, and overseeing arrangements related to Degree Ceremonies and College Collections.

Day-to-day of the role:

  • Manage the day-to-day work of the Academic Office, ensuring student cases are dealt with promptly and effectively.
  • Oversee arrangements for Degree Ceremonies and College Collections, including liaising with tutors, timetabling, and invigilation.
  • Administer examination and assessment arrangements, ensuring compliance with institutions regulations.
  • Support students facing challenges, coordinating with the Senior Tutor, Dean, and Academic Registrar.
  • Assist in preparing for meetings of the Academic Policy Committee and deputise for the Academic Registrar as required.
  • Maintain and oversee digital student records, ensuring the integrity of each student's record.
  • Liaise with various departments, including the Accounts Office and Admissions Office, to ensure smooth operations.
  • Monitor and oversee handling of enquiries to the Academic Office.
  • Serve as point of call for student well-being, signposting students to support.

Required Skills & Qualifications:

  • Experience working within an adminsitrative based role in a further education setting is essential
  • The candidate will ideally have line management or supervisory experience, however this is not essential
  • Excellent interpersonal skills with proficiency in verbal and written communication.
  • Strong IT skills, including word processing, email, spreadsheets, and databases.
  • Accuracy, attention to detail, and an organised and methodical approach to work.
  • Ability to work calmly under pressure, prioritise and meet deadlines.
  • Ability to work independently and flexibly as a member of a small team.
  • Discretion in handling sensitive and confidential matters.
