Document Specialist

Reed is looking for a Document Specialist to join our highly reputable law firm in their Business Support Department. This role is ideal for a highly organised individual with exceptional verbal and written skills, who is keen to contribute to our one-team ethos and uphold our reputation for trusted advice and excellence in client service.

Day to Day of the role:

  • Transcribe and prepare dictation through audio-typing and word processing efficiently.
  • Handle administrative routines including photocopying, document binding, bundling, CD production, and scanning.
  • Operate and manage case files within the case management system.
  • Conduct all new client Anti-Money Laundering Checks and create new client records on the system.
  • Schedule deeds and manage the storage of deeds, wills, EPAs, etc., including databasing.
  • Set up Trust records and handle queries regarding the location of deeds and other documents.
  • Perform quality control by checking and proofreading work to ensure high standards.
  • Respond to queries and enquiries from fee earners, Team Coordinators, and secretaries in a professional and friendly manner.
  • Collect and return work as required by specific departments, demonstrating flexibility and teamwork.
  • Maintain confidentiality of all firm and client documentation and information.
  • Engage in self-development and undertake specific training when required.

Required Skills & Qualifications:

  • Excellent verbal and written communication skills.
  • Proficient keyboard skills, particularly in Microsoft Word.
  • Experience with digital dictation is desirable, but training will be provided.
  • High level of accuracy and attention to detail in work produced.
  • Commitment to providing customer care to the highest standard.
  • A proactive "can-do" attitude and the ability to work effectively as part of a team.
