Events Manager

Main duties and responsibilities

  • To deliver and run cultivation and stewardship events (including online, hybrid and in person formats) for both donors and alumni audiences
  • Manage all required aspects of events from initial idea to evaluation and feedback
  • Support the planning of International events and annual receptions where appropriate
  • Deliver bespoke events (of all scales) with a high level of professionalism
  • Understand the rationale behind each proposed event and what the desired outcomes are, and deliver events accordingly

Collaborating and influencing

  • Collaborate with colleagues to review event ideas and make suitable suggestions, using your experience of event management and recognising the resources available that the Events team can offer
  • Work with different fundraisers, alumni, communications and donor relations teams to produce highly engaging event content and an appropriate invitee nominations process whilst adhering to brand guidelines and office priorities
  • Strategically influence and manage multiple stakeholders with conflicting priorities or needs to ensure you deliver a programme of events that meets the strategic priorities of OVPA and the wider programme planning

Event planning and logistics

  • Coordinate event guest lists across the OVPA teams ensuring relevant supporter groups are included
  • Work with suppliers to ensure that appropriate bookings are made in regards to venues, catering, A/V, decor and any specialist requirements
  • Support all stakeholders, clients and volunteers with any queries or issues that arise at the event
  • Ensure that post-event follow-up is completed, including sharing attendee lists, organising thank you notes or other correspondence in a timely fashion, and completing relevant post event analysis, reports

Experience and knowledge

Experience of having managed a range of fundraising-related events from start to finish.

A clear understanding and knowledge of the event management cycle

Experience of having worked on cross-departmental or organisational events

Experience of managing many events/projects simultaneously, which may all be at different stages within the event/project management cycle

Experience of successfully managing a range of stakeholdersand clients

Understands the importance of ensuring key stakeholders and guests are given a VIP service

Experience of having worked within a charity or university

Experience of having managed events with guests, including high net-worth individuals and key influencers

Experience of having delivered online events using Zoom or Microsoft Teams

Skills and abilities

Skilled at managing expectations in relation to resources and time, and offering alternative options and ways forward

Acute attention to detail and the ability to manage multiple conflicting demands and deadlines, especially during busy periods

Professional in dealing with colleagues and clients and confident with managing relationships across the board

Excellent writing skills and the ability to draft audience-targeted invitation text, and liaise with communications colleagues on look and feel of email and hard copy invitations
